Position Purpose:


We are looking for a dynamic Recruiting Assistant to help facilitate our company's hiring process. In this role, you'll support our human resources department manager with recruitment duties and ensure that all recruitment procedures run smoothly.

To be a successful recruitment assistant, you should have excellent organizational and desktop skills. Ultimately, a top-notch recruitment assistant should be able to communicate effectively with interviewees and display a calm and inviting demeanor.


Recruitment Assistant Responsibilities
:

  • Review, notate and make recommendations on incoming applicant candidates applications in the Applicant Tracking System (ATS).
  • Performing recruitment duties such as scheduling interviews, updating the calendar accordingly, answering phone calls, and monitoring emails.
  • Perform initial position interviews to determine qualifications for further assessment and potential 2nd level interviews.
  • Working closely with the human resources department manager to maintain the candidate ATS database and handle any relevant paperwork and notes.
  • Preparing and posting job advertisements online and in print media.
  • Assist HR dept manager in keeping up with ways to enhance recruitment efforts and find qualified applicants for multiple depts and positions.
  • Facilitate and attend relevant job fair events as requested or approved by HR Dept Manager.
  • Screening candidates by performing background checks and verifying their qualifications and experience.
  • Greeting and assisting interviewees onsite.
  • Ensure candidates have completed relevant assessment screenings.
  • Following up with candidates during the recruitment process, like shortlisting callbacks or rejection emails.
  • Resolving issues such as interview cancellations or interview time changes swiftly.
  • Assisting successful candidates with the onboarding process, including preparing documents and coordinating orientation agendas with the Dept HR Manager.
  • Potentially will assist with Exit Interviews and any other needs of the HR/Administrative Dept Manager.
  • Will help with some other operational duties, as assigned by Administrative Manager or General Manager.

Recruitment Assistant Requirements:

  • Associates degree in human resources, business, relevant field or have at least ONE Year of Recruitment on the job experience in this field.
  • At least one year of experience as a recruitment assistant or a related role, as well as orientation experience.
  • Familiarity with standard hiring practices, such as scheduling interviews and onboarding processes.
  • Solid desktop and phone etiquette skills.
  • Strong organizational and time management skills.
  • Outstanding verbal and written communication skills.
  • Ability to work independently as well as part of a team.
  • Ability to thrive in a fast-paced environment as well as an ever-changing environment.
  • Has a good understanding of maintaining confidentiality in this position and within the department.
