HR/People Experience Specialist


Job Purpose


Your role as an HR/People Experience Specialist will be far from one-dimensional. You’ll undertake a wide range of HR tasks, like administering/supporting PTO/LOA policy and procedures and translating the HR handbook. You will use Human Resources Information Systems to ensure all employee records are up-to-date and confidential. And you’ll also act as the main point of contact for employees’ queries on HR-related topics. The HR Generalist will have both administrative and strategic responsibilities, helping the company to plan and administer important functions, such as staffing, training and development, and liaison for compensation and benefits


EXPECTATIONS FOR SATISFACTORY JOB PERFORMANCE


  • Sets up training codes in HR software
  • Documents completed training per employee and/or location
  • Enrolls employees in training sessions per schedule and as needed
  • Assists in developing training as needed
  • Assists the People Experience Manager with administration duties
  • Receives initial employee relations complaints
  • Sends the employee relations information to the immediate Supervisor
  • Assists with opening, documenting and researching case files related to the investigations
  • Assists if necessary to perform interviews related to the Employee Relations Cases
  • Runs HR compliance monthly reports and follows up until completed
  • Runs weekly New Hire Database check
  • Maintains records of completed trainings for the department including items such as the Safety Right to Know Form, ATS system and I-9 Compliance etc.
  • Updates Who to Call List
  • Pulls information from employee’s files and I-9 records for legal requests received as necessary
  • Backs up phones when necessary
  • Helps with HR back up plans when necessary
  • Creates and updates Sr. HR Assistant Procedures when needed
  • Participates on special projects and committees
  • Performs special HR projects as directed and prepares reports as required.


EDUCATION AND CERTIFICAtions


High school diploma or equivalent; and three year’s administrative experience in Human Resources or supporting role.

  • Ability to maintain strict confidentiality regarding employee issues.
  • Ability to read and communication in English and Spanish
  • Outstanding interpersonal skills: must display patience, and helpfulness at all times - front line contact for employee issues.
  • Ability to handle multiple projects and deadlines.
  • Knowledge of commonly used concepts, practices, and procedures within Human Resources.
  • General computer knowledge including Microsoft Operating System, MS Word, Excel, Outlook, Internet, HRIS database software, and typing skills.
  • Ability to effectively communicate with multiple levels of management.
  • Excellent organization and follow up abilities.


PREFERRED SKILLS:

  • Proficiency in Microsoft Operating System, MS Word, Excel, Outlook, PowerPoint and Internet.
  • Excellent written and verbal communication skills
  • High level of interpersonal skills to handle sensitive and confidential situations and documentation.
  • Ability to make decisions and exercise sound judgment and use initiative.
  • Ability to maintain a high level of confidentiality


ESSENTIAL FUNCTIONS


  • Able to read and communicate in English and Spanish
  • Requires physical exertion to manually move, lift, carry, pull, or push heavy objects or materials up to 50 pounds.
  • Must be able to remain in a sitting (or stationary) position 80% of the time.
  • Able to occasionally move about inside the office to access files, office machinery, etc.
  • Must have good hand dexterity to process a high volume of email communication & other electronic communication.
  • Can work independently and in stressful environments
  • Regular, consistent and predictable attendance
  • Some local area travel using personal vehicle. Approximately 10% of the time and will vary during the month and week. Ability to travel domestically 10% of the time, using public air or rail at the discretion of the company, particularly to meet with customers and colleagues
  • May have responsibility to enter customer facilities that require background screening.
