The Administrative Assistant is a key member of the office team and is often the first point of contact for referral sources, employees, prospective clients and employment applicants. Spends considerable amount of time on the telephone, often 50% or greater. Assists with ongoing coordination of human resources/personnel needs as well as client information needs, and will perform a variety of office administrative duties.

    Your Schedule:
    • Monday - Friday, 8:30 AM - 4:30 PM

      Your Duties & Responsibilities:
      • Helps to ensure telephone is answered, greeting visitors, providing information as instructed, in response to employment and service inquiries. Takes messages as instructed. Provides and documents information as instructed in response to employment and service inquiries, or visitors/guests. Routes calls and takes messages as instructed.
      • Performs initial intake on service requests, when need arises, as assigned.
      • Maintains all employment inquiries and applications
      • Conducts and assists with employment applicant interviews and orientations, and helps facilitate the employment application, orientation, and registration process.
      • Shares after hours call rotation as assigned, if needed.
      • Helps maintain an organized, compliant, and effective filing system for employee, and administrative files, and other files, as instructed, and in accordance with company policy.
      • Performs copying and filing for employee, and administrative files as assigned. May perform word processing, delivers incoming mail to Director and readies outgoing mail when need arises.
      • Helps maintain and ensure current due date logs so that due dates are not missed, for CNA registry renewals, employee CE credits and inservices, skills verifications, TB tests due, Hepatitis, employee performance evaluations due.
      • Helps to organize and assemble flowsheet data for payroll and billing, if assigned.
      • Helps assemble and prepare responses for external requests for information, including but not limited to, reference requests, wage verifications, and employment security commission unemployment claims.
      • Participates in staff meetings.
      • Assists in promoting FirstLight services in a positive and professional manner to prospective clients, referral sources, and the community in general.
      • Performs other duties as assigned.
