HOUSING ADMINISTRATIVE ASSISTANT

The Greenfield Housing Authority is seeking a Housing Administrative Assistant. The incumbent will perform a variety of administrative functions, assisting with the Federal and State Voucher Program. This individual will also provide backup support as required during staff absences.

A High School Diploma or the equivalent is required but post high school education or training is preferred. Microsoft Office experience is necessary. Any combination of applicable skills is a plus and may be substituted for formal educational training. The Starting wage range is $19.81 – $21.92/hour, depending on experience. Position Summary: Under the Direction of the Supervisor of Leased Housing, the Administrative Assistant will perform a variety of administrative functions to assure compliance with Federal Housing Choice Voucher program as Administered by the Greenfield Housing Authority.

Supervision: Incumbent will receive direct oversight by the Supervisor of Leased Housing with additional consultation with the Supervisor’s subordinate staff. Frequent consultation is required and available in the interpretation of State and Federal Housing regulations. The incumbent will also work closely with the Section Eight Housing inspector(s) for scheduling initial, follow-up Housing Quality Inspections and the CHAMP program as needed and during staff absences.

Essential Job Functions:

1. Send annual recertification packets to program participants and gather relevant required documents to process the recertification.

2. Process the initial Section 8 Housing Choice Voucher applications and determine final eligibility when applicants reach the top of the wait list.

3. Send income, medical and financial verifications to institutes and providers.

4. File documentation in the program participant’s active or inactive file

5. Assemble and update as necessary briefing packets to be distributed to applicants at the time of voucher issuance.

6. Provide backup for the receptionist when the incumbent is out of the office. Assume a variety of other administrative and clerical functions as may be assigned or directed by the Supervisor or Executive Director.

EDUCATION AND EXPERIENCE

1. High School Diploma or equivalent required. Post high school education or training preferred. One to Two years’ experience in a professional office setting

2. Prior administrative support including a high level of confidentiality.

3. Competency in Microsoft Office Suite including Word, Excel, Access.

4. Experience in positions requiring independent thinking, discretion, and assuring client confidentiality and personal data.

GENERAL REQUIREMENTS

1. Exceptional organizational skills and acute attention to detail.

2. Strong work ethic. Initiative, capability, and judgement to work independently and prioritize tasks.

3. Flexibility to work on more than one issue at a time.

4. Skill and experience with working with regular office equipment such as postage machine, copiers, telephone systems, scanner, and calculators.

5. Ability to meet and work effectively with a wide variety of people, personalities, and situations.

6. Strong basic math competencies.

7. Be punctual and have access to reliable methods to get to the GHA offices.
