THE OPPORTUNITY

The Accounting Manager works under the supervision of the owner/operator. The Accounting Manager is responsible for managing the financial reporting, bulling, collections, payroll and budget preparation. The Accounting Office Manager will be a full-time [40-45 hours per workweek] position. Areas of Responsibility will cover a range of accounting, business, training, and reporting solutions.


RESPONSIBILITIES

  • Manage administrative & accounting duties, including day-to-day office tasks, communications, and accounting activities. Complete job responsibilities and performance objectives in a timely and efficient manner in accordance with Ballast Hospitality’s standards. Perform other duties and responsibilities as required or requested.
  • Maintain up-to-date accounts payable entries as invoices & expense receipts are produced.
  • Designate items on invoices/expenses to categories based on Ballast Hospitality’s split sheets & detailed chart of accounts to ensure the accurate cost of goods & expense reporting allocations.
  • Ensure accurate and consistent financial reporting [daily, weekly, monthly] for all concepts.
  • Bank, Petty Cash, and Daily Cash Drop Reconciliations as needed for all concepts.
  • Monthly/period-end reconciliations of bank accounts and credit cards.
  • Inventory liaison with on-site concept teams, to ensure accurate inventory reporting and data entry into Restaurant 365 at each period-end.
  • Learn payroll process for all US & USVI companies. Assist in US / USVI payroll processing as needed; grow to manage US payroll processing for all stateside-concepts.
    • Assist with bi-weekly payroll reporting & filing as necessary.
  • Willingness to travel: Travel to concepts in USVI for on-site accounting and admin support, reconciliations, management/staff training on accounting procedures, accounting procedures spot checks, etc.
  • Keep Ballast Hospitality promptly and fully informed of all issues and take prompt direct action where necessary.

    • Processes/Systems/Procedures:
      • Complete special accounting-based projects as assigned or necessary for the success of the company.
      • Constantly evolving & contributing to the Ballast Hospitality Team by refining processes and bringing valuable ideas to the table for improved company & concept growth.
    • General Accounting Management:
      • General accounting management of management company business activities.
      • Receivables
      • Payables
      • Allocations
    • Payroll Management:
      • Management of Payroll Preparation
      • Management of Payroll Submission
      • Management of Payroll Internal Reporting
      • Management/administration of quarterly/annual payroll reporting [ADP]
    • Travel Coordination/Management:
      • Management of travel coordination for all Ballast Hospitality staff.
      • Creation and implementation of Travel Per Diem Program
      • Timely Reimbursement/Allocation of Travel Expenses
      • Manage travel accounts & logins
      • Manage corporate accounts with airlines, hotels, car rentals, etc.
      • Reporting of travel expenses
    • Meeting Management:
      • Organize Weekly Manager Meetings [Concept Level]
      • Capture and Manage Meeting Notes [Concept Level]
    • Allocation Management:
      • Track concept level expenses incurred by Ballast Hospitality.
      • Invoice Concepts weekly/bi-weekly for reimbursement.


QUALIFICATIONS

  • Honesty, integrity, self-discipline, initiative, leadership ability, detail-oriented, and outgoing nature.
  • Ability to prioritize while handling multiple projects.
  • Experience with Restaurant 365 is preferred.
  • Exceptional communication skills, both spoken and typed.
  • Strong analytical skills; ability to define problems, collect data, establish facts, draw valid conclusions and make sound recommendations.
  • Skilled in mathematics, time management, and typing.
  • Must work well with others, and be receptive to direction from peers & supervisors.
  • Minimum Bachelor’s Degree in accounting or finance, or equivalent experience.
  • Ability to manage multiple accounts, make recommendations on improved workflow, and audit books for accuracy.
  • Ability to work weekdays [Monday through Friday], during normal business hours. Hours to be set & determined by management and maintained on a consistent schedule on a weekly basis.
  • Strong knowledge of and ability to work with Restaurant 365 for accounting & bookkeeping purposes, as well as reporting.
  • Proficient with Microsoft Excel & Microsoft Word. Able to create, manage & manipulate spreadsheets. Able to create & manipulate word documents, as needed.
  • Ability to manage multiple business email accounts and calendars.
