Under the direct supervision of the Executive Director and of the Finance Director, the incumbent is responsible for providing office support for the Housing Authority of Douglas County, Oregon, (HADCO).

Essential Functions: The following represent the major essential and secondary duties of the position; however they are not intended to be all-inclusive. DMPM reserves the right to change, reassign, or combine job duties at any time.

Executive Assistant:

  • Sole responsibility for a major support function which provides direct assistance to the executive director.
  • Assists with document updating such as editing policies and procedures for grammar
  • Assist with contract development
  • Update front office bulletins, notices, marketing material, and other pertinent information
  • Providing document organization and purging
  • Facilitate meetings with community partners
  • Provides general office duties such as filing, typing documents and reports, date stamping all incoming paperwork and miscellaneous materials as required
  • Process complex or technical documents and materials where specific procedural requirements are somewhat complicated, type complex and confidential l data on a variety of forms type of variety of correspondence and reports
  • Operate a variety of complex office equipment which includes automated equipment utilizing specialized databases, spreadsheets and systems.
  • Order and maintain general office and specialized supplies. Purge supplies not being used.

Accounting Assistant:

  • The position provides support for the Accounting Department
  • Basic knowledge of the general chart of accounts with thorough knowledge in area of bookkeeping.
  • Responsible for the Accounts Payable System. Maintains all invoices and cash requirement reporting and file information. Responsible for all Accounts Payable check processes and vendor file maintenance. Responsible for vendor 1099 processing and printing. Responsible for paying bills; this includes maintaining all Accounts Payable check processing file information and payment reporting. Reconcile to General Ledger.
  • Responsible for the Accounts Receivable System. Maintains Account Receivable records, repayment agreements and collections. Maintaining accurate and timely posting of payments, issue Utility Allowance refunds, post rents, and tenant & account reconciliation.
  • Process all inter-program transfers and maintains all file information. Reconcile Inter-Programs Due To/Due From.
  • Reconcile other varios General Ledger Accounts
  • Take bank deposits and mail to the post office as requested or needed.
  • Records and maintains inventory records.

Physical Requirements

  • This position requires the ability to sit for periods of up to five hours, stand for periods of up to four hours, work on a computer for periods of up to five hours, read for periods of up to five hours, and hear for periods of up to four hours. Light lifting (20lbs) may be required.
  • Incumbent will work in office setting

Minimum Qualifications

  • Executive Assistant requires basic knowledge typically acquired with a high school diploma or GED, one year of college level accounting, and three years progressive expertise working in a similar clerical position using basic office skills and accounting procedures, or any combination of education, training, or experience that provides the required knowledge, skills and abilities.
  • Accounting Assistant Associate Degree in accounting and two years of related work experience OR five years accounting and related experience OR a satisfactory equivalent combination of experience and training.
  • Considerable computer knowledge. Ability to effectively utilize various computer software programs including Microsoft Word and Excel or similar programs.
  • Ability to communication effectively both verbally and in writing.
  • Effective telephone skills, ability to deal tactfully with a variety of people under constant changing circumstances using tact and diplomacy.
  • Ability to prioritize
  • Must possess a valid DL and furnish proof of a clear driving record

Secondary Qualifications

  • Actual Multi-Family Development experience
  • Able to read and comprehend State and Federal Regulations

Job Details

  • Monday - Friday 8am-5pm
  • $16-$20 DOE
