Job Summary
The Genetic Counseling Assistant shall be responsible for:
  • Working under the guidance of the Director of Genetic Counseling (Department of Neurology), provides administrative and scientific support for genetic testing and counseling processes in the Neurogenetics Program. Provides administrative support for pre-clinic and post-clinic activities. Assists with insurance preauthorization processes and tracks submitted requests. Performs data collection and data entry to support tracking of genetic testing outcomes. Supports customer service goals by assisting with the creation and distribution of patient education resources.
  • Triages genetic counselor referrals/phone calls/emails, communicating directly with patients/families in consultation with genetic counselors and/or other program staff.
  • Performs pre-visit preparation for initial clinical visits, including collection of relevant medical records, lab reports, medical records review and coordination of patient intake forms.
  • Facilitates genetic testing process, including identification of laboratories, researching appropriate testing and sample submission requirements, and requesting shipment of clinical testing kits from laboratories to patients. Acts as a liaison between clinicians and genetic testing laboratories. Troubleshoots testing process as needed.
  • Obtains prior authorization for genetic testing in accordance with payer requirements with payers or in coordination with Patient Financial Services. Submits letters of medical necessity, providing additional clinical, laboratory and demographic details to support authorization requests, including determination of accurate CPT and ICD 10 codes and with scheduling peer-to-peer meetings with insurance providers. Tracks submitted requests and documents outcomes. Communicates with families about insurance authorization for testing.
  • Completes genetic testing requisition forms, including interpretation of patient pedigrees and assignment of diagnosis codes.
  • Ensures test results are entered into Power Chart and program database. Maintains patient testing database for the program. May build or enhance database as needed.
  • Works with providers and families to ensure post-testing follow-up visits are scheduled.
  • Gathers and synthesizes data, resources, and literature related to relevant genes, variants, diagnoses and test results to assist genetic counselors in preparing for clinical visits with patients/families.
  • Prepares patient education materials and patient-centered educational events.
  • Supports the program’s quality improvement for the program by providing data for Quality Improvement program; actively seeks and recommends quality improvement opportunities. Prepares reports from database regarding referral and testing metrics.
In order to qualify you must have:
  • A Bachelor’s Degree required in Biological Science, Clinical Laboratory Science or related scientific field
  • Strongly preferred one year of experience in either a laboratory setting or healthcare or insurance customer service setting
  • Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
  • Ability to work effectively with diverse internal and external constituencies.
  • Ability to gather and synthesize data, resources, and literature related to relevant genes, variants, diagnoses and test results.
