SUMMARY

The Front Office Manager is responsible for overseeing all Front Desk/ Front Office operations of a luxury resort hotel to ensure profitability, control costs and quality standards ensuring both guest and employee satisfaction by performing the following duties:

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Works a flexible schedule, including weekends and holidays, as needed to ensure the front desk, reservations and bookings are running at their optimal and most profitable level including weekends and holidays.
  • Recruit, select, train, schedule, review and mentor front office staff.
  • Direct and control the activities of the front desk and concierge departments to ensure courteous, professional guest service by front desk staff consistent with Hotel Healdsburg’s service standards.
  • Coordinate and manage group arrivals/departures.
  • Participate in daily front office functions to sustain appropriate guest service levels.
  • Oversee availability (opening and closing) with Reservation manager to maximize occupancy, revenue and rate.
  • Review daily arrivals, VIP’s, special requests, group needs, room assignments, and coordinate the needs of guests with Housekeeping Department Handle guest complaints and keep management informed as necessary.
  • Discipline staff in accordance with Hotel Healdsburg Policy.
  • Timely completion of all necessary HR forms (progressive discipline, performance evaluations, termination proceedings, etc.).
  • Handle guest complaints and keep management informed as necessary.
  • Respond properly in any hotel emergency or safety situation.
  • Train new employees in accordance with Hotel Healdsburg IIPP program and sign off on appropriate forms.
  • Perform other tasks or projects as assigned by hotel management and staff.

QUALIFICATIONS

  • Education and/or Experience- Associate's degree in Hospitality or equivalent from two-year college or technical school and two years related experience in a supervisory position; or equivalent combination of education and experience.
  • Language Skills- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
  • Mathematical Skills- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Computer Skills.
  • To perform this job successfully, an individual should have working knowledge of a Property Management System such as Opera or equivalent, a strong working knowledge of Microsoft Office applications (Word, Excel, Outlook) and be able to successfully navigate the internet. Experience with POS such as Micros preferred.
