This position will be in support of Support Services Department, located at HJF Home Office in Bethesda, Maryland.


HJF is seeking a Front Desk Administrative Assistant to be responsible for greeting and providing information to HJF Home Office visitors. Responsible for receiving, switching and handling a wide variety and heavy volume of incoming phone calls. Also responsible for providing clerical support on an overflow basis. Ensure visitors are checked in a identification is validated.

Responsibilities:
  • Responsible for receiving, relaying, taking messages and handling all incoming phone calls.
  • Greets all office visitors and informs staff members of the arrival of expected visitors and advises the appropriate staff member regarding unexpected visitors.
  • In coordination with the security department, issue and track of HJF access badges.
  • Manage functions of the Datawatch system.
  • Issuing parking validation, activate abd deactivate parking, review parking structure access and usage log.
  • Generate Support Service workplace tickets for both internal and external clients.
  • Assist with administering fingerprints for our employees.
  • Performs routine clerical duties and special projects.
  • Assists with emergency reponse coordination and emergency evacuation process.
  • Assists the meetings team with conference room coordination and set-up.
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.


Required Knowledge, Skills and Abilities

  • Excellent oral and written communication skills.
  • Ability to manage multiple priorities.
  • Personable and customer service oriented.
  • Understanding of military background and/or experience in a military setting is a plus.
  • Experience coordinating meetings is preferred.

Physical Capabilities
  • Lifting: Requires lifting materials up to 10 lbs.
  • Lifting: Requires lifting materials up to 25 lbs.
  • Ability to stand or sit at a computer for prolonged periods.

Work Environment
  • This position will take place primarily in an office setting.


Education and Experience

  • High School Diploma required. Associate's Degree preferred.
  • Minimum of 0-2 years experience required.
