ECLI-VIBES, a fast-growing not-for-profit human service agency, is seeking a Finance Assistant to join our team. As a Finance Assistant, you will be responsible for recording accounts payable and accounts receivable, processing invoices and finance requests, managing budgets and ledgers, and providing administrative support during budget preparation. Additionally, the Finance Assistant will be responsible for billing out for services rendered on local, state, and federal grants, as well as recording and allocating donations. This role requires a good understanding of accounting and bookkeeping procedures, as well as strong organizational skills and the ability to manage multiple projects and priorities.

Job Duties & Essential Functions:

  • Process all financial transactions using Fundez.
  • Accounts Payable – Timely processing of invoices and other payment requests
  • Accounts Receivable - Recording and reconciliation of all revenue from offline and online sources
  • Bank deposits
  • Maintain hard and digital copies of financial transaction records
  • Process bi-weekly payroll
  • Other assignments and tasks may be added at the discretion of the Director of Finance.
  • The Finance assistant is the primary bookkeeper for the organization
  • Prepare and submit contract and program vouchers and invoices as noted in each contract and on time

Qualifications:

  • Bachelor’s degree in accounting is a plus
  • Two to three years of related experience
  • Strong verbal and written communication skills
  • A team player as well as able to work independently
  • Well-developed organizational and time management skills
  • Dependable and dedicated
  • Working understanding of Google Applications, Advanced MS Excel skills
  • Experience with QuickBooks and/or Fundez, Justgrants, ASAP (Department of Justice), Suffolk Stats, Grants Gateway, Contract Management System (NYS), e-snaps (HUD)
  • Ability to establish and maintain healthy working relationships
  • Ability to manage multiple projects and priorities
  • Respect for and adherence to confidentiality is required
  • Strong attention to detail and follow-through
  • Well-developed customer service orientation
  • Ability to work effectively under pressure
  • Strategically organized, with strong analytical skills, flexibility, and sharpness

Job Type: Full-time

Pay: $45,000.00 - $55,000.00 per year
