Job Summary
The Work Order Administrator serves as the liaison and point of contact for distribution, prioritization, and coordination of all work orders from Facilities Management and the campus community using a computerized work order system.
  • Manage, maintain, and administer all electronic work orders
  • Reconciliation of accounts for monthly billing and sub-ledger reporting.
  • Provide fiscal year-end review and reporting and review Safety and Security reports for student damage.
  • Create and coordinate set-up work orders for Events and Summer Programs
  • Assist Facilities management staff as needed and cover for office staff as necessary
  • Maintain an inventory of the wireless CMMS devices and assignments.
  • Review and schedule with outside pest control vendor for campus wide pest control management.


Hourly range for this position is expected to be: Minimum $23.00 – Maximum $25.50/ per hour (This role is eligible for overtime)

Education/Skills Requirements
Required:
  • A high school diploma or equivalent
  • Strong data entry skills
  • Excellent customer service skills
  • Ability to handle a high volume of detailed work in an environment with multiple interruptions and changing priorities
  • Strong verbal and written communication skills
  • Ability to work in multiple software environments while analyzing and assimilating information from various sources

Experience Requirements and/or Equivalents
Required:
  • A minimum of 3 years’ in a customer service and/or data entry experience
  • Proficiency with Microsoft Office Suite (Word, Excel, Access and Outlook)


Preferred:
  • Experience with the TMA work order system or EMS software, basic CAD skills,
  • Working knowledge of Facilities operations

Standard Work Days and Hours
  • This is a full-time, year round position (1.00 FTE)
  • Monday through Friday, 40 hours/per week primarily working between the hours of 7:00 am – 3:30 pm.
  • May be required to work occasional overtime, nights, weekends, and holidays during peak periods.
