The role of Facilities Coordinator (FC) reports to the office five (5) days a week, which is key to business continuity and proper support of the HQ user experience. The FC responsibilities relate to every aspect of the employee’s (or visitor’s) onsite experience in our collaborative workspace as well as supporting all facility and operational HR programs noted below. The FC will also take over any new facilities or HR operational programs as needed and as they arise.

OVERVIEW:


The Facilities Coordinator will support the organization with facilities, office services, and HR operations which will improve, protect and optimize the employee experience. Success in the role will be measured by well-running facilities/mailroom and related HR operations below with positive employee, visitor and functional leadership feedback.

EXPERIENCE:

Facilities:

Monitor and maintain the HQ space daily (notifying IT teams of issues and making improvements/corrections as needed) insuring employee support is positive and space is clean and maintained and technology is in working order providing the most productive working experience.

  • Support all special meeting booking requests in our office (including special room configuration and set-up, if required) and additionally for the building’s 5th floor conference center) through Business Engines (providing instructions to sponsoring employee on usage, timing, food requests, etc.).
  • Inspect premises weekly and elevate/address any needed repair (no matter how minor) and any safety deficiencies reporting to the Dir, HR Operations.
  • Open required facilities work orders with building vendor using Business Engines.
  • Coordinate additional cleaning services with PBM night staffing, as needed.
  • Order Town Hall set-up (and break-down) with PBM, building’s cleaning services team.
  • Communicate and address any employee/visitor concern regarding health/safety or otherwise poor employee/visitor experience and elevating same with the Dir, HR Operations.
  • Support security services or employee calls for entry assistance.
  • Order monthly Covid rapid tests, as needed, ensuring adequate inventory of employee daily testing materials with appropriate expiration dates.
  • Coordinate visitor registration/visiting and parking process each day.
  • Collect, address and share employee/visitor feedback with the Dir, HR Operations providing details of the comment/problem with a recommended solution.

Mailroom Services

  • Process and deliver the incoming Fed-Ex / Fed-Ex Ground / DHL and UPS packages.
  • Collect and post outgoing mail and deliver department mail to boxes.
  • Record all delivered package data on Pitney Bowes ‘Send Suite’ database.
  • Review office inventory items and maintain the mailroom storage closet.
  • Maintain all HQ admin supplies, shipping/mailing envelopes, boxes, markers, forms stickers, and tape.
  • Check paper copiers daily to ensure copiers fully operational at all times and servicing issues are ordered and copiers restore to full functioning.

  • Reconcile and pay monthly ODP and FedEx billing.

HR Operations Projects

  • File Beiersdorf annual global sustainability report for the affiliate (all facets) each December for mid-January deadline (following year). FC is key contact for capturing and filing data below:
    • Fleet car data
    • BCD travel data
    • Building utility data (contact RFR for breakout and costs)
    • Workplace insurance
    • Employee headcount data (obtained from Manager, Comp & Benefits)
  • Coordinate all HR/Facilities purchase order administration.
  • Create and finalize all new HR vendors with Procurement, as requested.
  • Provide orientation to new employees to the new HQ facility conducting building tours in person.
  • Administer badge production process (and decommission) for entry, parking, printing use for all incoming employees and temps.
  • Create daily entrance reporting for VP, HR using security tracking system.
  • Provide administrative support for the Motorlease corporate car program including:
    • Supporting new fleet car ordering process
    • Creating annual POs ensuring billing correct and timely payment
    • Reviewing online maintenance log and sending reminders if delinquencies (elevating to specific employees and department heads)
    • Coordinating insurance with the Hartford regarding employee accidents.
    • Reviewing and refreshing Motorlease Sharepoint page as the program evolves
  • Administrative support of the NA company store:
  • Send company store orders twice a month to LeSaint - download the orders from Shopify, upload the orders into excel compatible file, email to LeSaint.
  • Review 2x annually review the active product offering and determine which new product will be added to the company store.
  • Company store website maintenance: de-list low selling items, de-list discontinued product, add new products, develop and refresh the online content including graphics, layout, typeface and information, perform system maintenance as needed.
  • Provide customer service to employees who orders are incorrect, issue refunds as necessary.
  • Log employee order issues providing feedback to Logistics and help implement solutions to fix concerns.
  • Support Finance for set up / update tax codes.
  • Support site compliance with Beiersdorf’s data privacy guidelines

CORE REQUIREMENTS:

  • 1-2 year’s mailroom and general office experience required.
  • 2-3 years’ facility experience preferred but not required
  • 1-2 years’ HR operational experience highly desirable.
  • Strong written and verbal communication skills required.
  • Intermediate Word and Excel required.
