  • High School Diploma/GED and four years of related office and administrative experience
  • Demonstrated evidence of advanced skill in writing; for example, reports, policies, communications or planning documents.
  • Excellent verbal communication skills with detail-oriented and strategic aptitude

Position Responsibilities:

The Executive Assistant provides a full range of administrative support to the Executive Director (ED) of The Raptor Center. This position helps to facilitate communications and access to the ED, while serving as a point of contact for the ED, liaising with senior leaders of TRC, and others across the College of Veterinary Medicine (CVM), University of Minnesota Foundation, the greater University system and beyond.


Essential Functions:
Executive Level Administrative Support for TRC’s Executive Director (60%)
  • Help support initiatives as directed by the ED. Track implementation plans, help direct
and coordinate work activities, tracks and monitors progress on activities as necessary.
  • Help to coordinate the ED’s calendar, balancing competing priorities to ensure that the
ED’s time is used strategically
  • Help to manage the ED’s email account and google drive suite
  • Serve as the primary point of contact and liaison to internal (TRC and CVM leaders) and
external stakeholders on behalf of the ED
  • Coordinate written communications from the ED, including helping to prepare
correspondence, reports and presentations
  • Attend and contribute to TRC leadership meetings; taking minutes for record

  • Administrative support for TRC’s Advisory Board, including coordinating on behalf of
the ED with the chair of the advisory board
  • Assist with monitoring TRC’s annual budget and draft quarterly updates to the CVM
  • Assist with coordination and support for special events and programs of strategic
importance to TRC
  • Other duties as assigned

Research, Sponsored Projects, Grants Coordination (20%)
  • Work closely with the ED to coordinate grants and special projects portfolio. This
includes helping to develop budgets, manage milestones, provide regular reports, and
track and monitor expenses and budgets.
  • Oversee project life cycle from development to completion, including coordinating with
other personnel at TRC, CVM, and greater University.
  • Track progress of grants with other TRC staff and provide regular updates to the ED
  • Conduct assessments on process adherence and efficiency to discover areas of
improvement or concerns for overall grant management.

General TRC Administrative Support (20%)
  • Provide support to other administrative and front desk staff at TRC, such as interfacing
with the public at the front desk, assisting with ordering and purchasing for the center,
and assisting with special events.
  • Maintain and further develop TRC employee handbook and onboarding system for new
employees. Take primary lead on administrative aspects of hiring and new employee
onboarding.
  • Other duties as assigned


Hours
40 hours per week; full-time, flexible between hours of 7:30am and 5:00pm. Primarily Monday-Friday, but could require occasional weekends or evenings for special events. Eligible for possible hybrid schedule after onboarding period.

Salary Range $47,000 - $55,000


Established in 1974 as part of the University of Minnesota College of Veterinary Medicine, The Raptor Center (TRC) is first and foremost a hospital for ill and injured raptors, caring for over 1,000 birds annually. As an internationally renowned veterinary teaching hospital, TRC trains students and professionals from around the world to become future leaders in raptor medicine and conservation and conducts multi-disciplinary ecosystem health research. In addition, TRC has a substantial education and outreach program to educate and inspire the public. Using raptor ambassador birds, TRC’s education team uses innovative methods to reach over 150,000 people annually through a variety of programming at on and offsite venues and through virtual technology https://www.raptor.umn.edu . All of this work is done with the assistance of a cohort of more than 300 volunteers. While part of the University of Minnesota, The Raptor Center functions as a nonprofit organization relying on philanthropic donations for the majority of the budget.
