Position Description

Advertised Job Summary
The Executive Assistant supports the Vice President with the implementation and management of divisional initiatives and projects as well as ongoing office management. A resourceful troubleshooter, the Executive Assistant uses independent judgment to help the Vice President manage the overall office. S/he uses superb research skills and proficiency in writing and editing to create a variety of communications including business reports, proposals, confidential compliance reports, slide-presentations, and occasional emails. The ideal candidate will possess a high degree of analytical skills to assist with preparation of presentations, reports and training materials related to budgets, business reviews, strategy, internal audit and compliance; as well as a high degree of organizational and coordination skills to address ongoing matters related to overall office management, including calendar management, organizing, copying, filing, and following up on action items with others. This individual will also assist with the management of special projects that may impact Student Affairs and Academic Support as a whole. The Executive Assistant will be responsible for the coordination of activities and ensuring timely flow of information to and from the executive office. S/he will handle details of a highly confidential and critical nature and must function efficiently and effectively in a fast-paced professional environment. S/he will have a proven ability to independently manage multiple tasks and projects with competing priorities and organize and maintain administrative processes that are essential to this position. The ideal candidate will be dynamic, confidential, high-energy, organized, compliant, and able to support cross-functional coordination in a fast-paced environment and possess excellent judgment. S/he will be expected to be available during regular business hours, as well as additional hours or weekends, occasionally, as needed to provide support and assistance to the Vice President and his senior team.

Minimum Qualifications
Bachelor’s degree and 5 years related experience in business management, public administration, or administrative services; or equivalency.


Preferred Qualifications
  • Master’s degree experience in a university environment.
  • Strong interpersonal and customer service skills with the ability to work collaboratively as a team member.
  • Ability to cultivate positive and collaborative working relationships with individuals at all levels of the organization and ability to interact effectively with a diverse population.
  • Excellent communication skills and ability to communicate with discretion, diplomacy and tact.
  • Demonstrated experience in managing multiple complex programs and events simultaneously, including managing the roles of various participants in projects, setting schedules and meeting deadlines without supervision.


Knowledge/Skills/Abilities
  • Established proficiency with Microsoft PowerPoint, Excel, Outlook, and Word. Strong computer skills required.
  • Superior writing and editing skills.
  • Believes and follows high ethical standards.
  • Attention to detail and recognized effectiveness in managing multiple work assignments with accuracy.
  • Ability to routinely and independently exercise sound judgment in making decisions.
  • Must be flexible and have strong organizational and problem-solving skills, including the ability to manage task lists, deliverables and paper flow. Must have a high degree of initiative, attention to detail and follow-through.
  • Shows initiative and takes ownership of projects and assignments to achieve positive results.
  • Shows resourcefulness, enthusiasm, and willingness to help others with tasks when required.
  • Must demonstrate a level of professionalism, maturity and tact in handling highly sensitive and/or confidential information. Understands and demonstrates importance of the political landscape in actions and decision-making processes
