The Executive Business Administrator position will entail the following:

Providing high-level administrative support to the president with Outlook email/phone/calendar/meeting management

Manage vendor contracts and physical plant locations and otherwise act as the main point of contact for external vendors/building maintenance/IT Manager

Performing clerical functions as they relate to any non-mortgage banking related tasks which include office supply management, mail distribution, vendor contract liaison

Booking and coordinating meetings/conferences, conference calls, and other executive events for Executive Team

Creating and submitting expense reports for the president

Other Duties include - supporting every function needed to maintain all aspects on non-mortgage related functionality of the enterprise which includes supporting the president and CFO in executive administrative functions. The following are some responsibilities in the role:

  • Onboarding new employees/Branch locations
  • Coordinate every aspect of the on-boarding experience.
  • Liaise with HR Manager, IT Manager, Marketing Manager, and direct manager, procure Day-One assets such as business cards and key fobs
  • Update corporate phone list, email lists, and otherwise ensure synergy with marketing department so new hires are socialized on social media platformManage the company Org Chart

Assist president with outside employment counsel interface for employee related matters

Other duties and responsibilities as assigned

Minimum Job Requirements:

  • Foresee circumstances and act with requisite anticipation of events
  • Attention to detail
  • Flexibility and willingness to take on additional projects and responsibilities as needed
  • Willingness to organize and tend to the personal business matters of the CEO
  • Working on assigned projects with minimal supervision
  • Ability to effectively prioritize and plan work actives, use time efficiently and meet deadlines with high level of detail and accuracy
  • Must be organized, self-directed, dependable, and flexible
  • Ability to handle sensitive material in a mature and confidential manner
  • Ability to multi-task or single task in a fast-paced deadline driven office environment
  • Excellent interpersonal skills, the ability to efficiently create correspondence of all types
  • Superior written and verbal communication skills
  • Proficient knowledge of computer applications: Microsoft applications (Word, Excel, and Outlook)
  • Mortgage Banking Experience strongly preferred

Job Type: Full-time

Pay: $67,817.00 - $85,434.00 per year

Schedule:

Experience:

  • Microsoft Excel: 3 years (Required)
