SUMMARY:

The Executive Assistant will provide high-level administrative support to the CEO and other Executive members. This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

REPORTING:

Reports to the CEO with dotted-line responsibilities to 3 members C-Suite team, supporting a total of 4 executives.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Duties include the following, but other duties may be assigned as required.

  • Organize complex calendars and schedules, communicating with many internal and external constituents daily to coordinate busy executive schedules.
  • Serve as a company ambassador by welcoming C-Suite guests by greeting them, in person or on the phone; answering or directing inquiries.
  • Coordinate logistics, food, and beverages for frequent internal and offsite meetings.
  • Assist with quarterly offsite corporate event planning, managing group hotel, dining, and conference logistics for 10 to 20 participants.
  • Prepare monthly expense reports.
  • Manage sensitive matters with a high level of confidentiality and discretion.
  • Complete a broad variety of administrative tasks for the C-Suite team, including preparing agendas and keeping typed minutes from various meetings.
  • Works closely with the CEO to keep him informed of upcoming commitments and responsibilities act as a barometer by having a sense for the issues taking place in the environment and keeping the CEO updated.
  • Prepare Word, Excel, and PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization.
  • Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate team member.
  • Draft and prepare correspondence for internal announcements, board meetings, and organizations in which the C-Suite members are involved.
  • Be responsive to emails/texts/phone calls, with contact outside normal business hours.

Represent the company and the C-Suite team in a positive light through great follow-through skills and sound judgment.

JOB QUALIFICATION AND REQUIREMENTS:

Education, Experience, Training, and Licenses:

  • Bachelor's degree required.
  • 5+ years of related experience required in working in an Executive Assistant role supporting C-Suite Executives.
  • Experience planning events is required.
  • Advanced Proficiency in Microsoft Office products such as Outlook, Word, Excel, Teams, and PowerPoint, calendar management, and experience with cloud applications such as Google Docs, Smartsheet, and/or Dropbox.

Skills, Knowledge, and Personal Qualifications:

  • Ability to communicate effectively and professionally with the C-Suite team, and stakeholders, while maintaining effective relationships.
  • Must be able to identify gaps in technology and research and implement solutions, and quickly learn new software or applications with minimal assistance.
  • Flexible hours as dictated by the needs of business for projects and meetings, including the specific ability to work late for monthly evening board meetings.
  • Ability to function well in a fast-paced team-oriented environment, think outside the box, decipher priorities and make sound judgment calls, and work with a sense of urgency to meet deadlines.
  • Able to interact with people of all levels in a confident, professional manner.

Pay: From $70,000.00 per year
