Job description
RESPONSIBILITIES:
Executive support for Head of the Brand
- Maintain calendar: schedule appointments/conference calls, meetings, and holidays, send out reminders for upcoming meetings for preparation or follow-up actions
- Manage travel logistics: air travel, lodging, ground transportation
- On occasion, and when necessary, arrange food for meetings and prep meeting space
- Schedule recurring 1:1 with direct reports, team town halls, weekly/monthly/quarterly team meetings, and skip-level team member discussions, booking meeting rooms accordingly
- Prepare information and materials needed to support successful weekly/daily schedule
- Support key brand events such as national conventions, cross-brand events, or franchisee leadership meetings
Assist various department leads (VP, Marketing & Culinary; VP, Operations; Director, Strategic Initiatives)
- Prepare Power Point presentations as needed; assist with proofing and formatting (to brand/organizational standards), presentation clean-up and consistency
- Support Communications team as needed
- Maintain brand key events calendar
- Support franchisee district meeting schedule and logistics for field operations
Support department engagement and overall team dynamics:
- Organize team events: event coordination, venue selection/procurement, logistics, catering, and scheduling
- Assist and mange onboarding of new team members (e.g., computer and cube/office procurement, credentials, maintain dept email distribution lists)
- Maintain seating chart for department and manage necessary changes (e.g., new additions, change in locations, transitions)
- Support facilities with office/floor needs, as it relates to supported departments; maintain welcoming and clean working environment on the floor
Prepare and submit leadership team expense reports. Assist with department invoice processing and tracking
