Executive Assistant

Clinical Intelligence (CI), a privately-held healthcare consulting firm based in Hilton Head, SC, is seeking a full-time Executive Assistant. This position will report to, and primarily support, CI’s President, along with two additional executives as needed. This individual must be highly organized, an excellent communicator, proficient at planning and follow up, and extremely proactive. They must also have the ability to consistently demonstrate flexibility and work independently within a fast-paced environment with frequent interruptions, conflicting priorities, and varying workloads. The role requires a high level of professionalism in dealing with senior business leaders inside and outside the firm, and a high level of integrity and discretion in handling confidential and HIPPA-compliant information.

Executive Assistant Responsibilities for President

The primary responsibility of this position is to ensure CI’s President is set up for success daily. This is accomplished through:

· Calendar management. Organize and fully manage the President’s electronic business calendar by reminding them of upcoming events, deadlines, scheduling or rescheduling internal and external meetings, and prioritizing calendar events as they relate to the strategic goals of the firm.

· Email management. Act as gatekeeper for all electronic communication and proactively prioritize emails and appropriate responses. Prepare professional electronic correspondence on behalf of the President as needed.

· Meeting management. Ensure the President is prepared for all meetings including attendee bios, organization backgrounds, agendas, PowerPoint presentations, etc. Attend and take notes/minutes as needed, prepare, and distribute appropriate follow up as needed. Work with Marketing and Business Development teams on preparing appropriate marketing material as needed.

· Travel management. Manage all travel for the President including flights, accommodations, and ground transportation as needed.

· Project management. Support the President with meeting all current project obligations, deadlines, and anticipate needs of future projects.

· Event management. Handle all event details needed for the President, including but not limited, to their registration, material preparation, and speaking engagement preparation. Work with Marketing and Business Development teams on preparing appropriate marketing material as needed.

· Expense management. Manage and track all business expenses in coordination with Accounting and Administrative Coordinator.

· Additionally. Respond to a wide variety of requests for information that requires executive action and draft hardcopy correspondence as needed.

Executive Assistant Responsibilities for Two Additional Executives

· Arrange meetings, events, and appointments for executive leadership with supporting materials as needed.

· Coordinate management-employee communications and meetings and events.

· Ensure that executive leadership is informed of priorities, deadlines, and challenges.

· Working with Director of Operations to assist with contract administration as needed including obtaining signatures, scanning and electronic filing needs.

Administrative Responsibilities

· Screen and deliver mail

· Address other personal/business files and other office organizational needs for executives

· Track internal and external contacts and maintain contact database required by executives (e.g., employees’ PTO, birthdays, etc.)

· Run professional errands as requested

· Provide back-up administrative support to other departments, as necessary

· Available periodically during off-hours (evenings and weekends at times)

The Ideal Candidate Possesses:

Healthcare experience preferred.

· The ability to thrive in a fast-paced environment and work independently with a high sense of urgency and a professional demeanor

· Advanced written communication skills, including report writing, presentations, email correspondence and verbal communication skills

· Advanced experience in in Microsoft Windows operating systems and Microsoft Office applications including Microsoft Word, PowerPoint, Excel, and Outlook

· Excellent calendar management skills and demonstrated history of complex scheduling with consistent follow through

· Strong interpersonal skills with the ability to interface effectively with a wide variety of internal and external clients

· Strong organization and prioritization skills; demonstrated history of successfully managing multiple concurrent initiatives and maintaining one’s own workflow

· A demonstrated ability to manage projects and meet deadlines

· Ability to anticipate needs, resourcefulness and responsiveness are essential

· Ability to consistently strive for excellence and exercise good judgment.

· Dependability, dedication, and independence

· Understanding of HIPAA compliance and importance of privacy and security standards

What CI offers

· This position offers the flexibility of a hybrid model workspace to include four days in CI’s Hilton Head headquarters and the fifth day in the candidate’s home office

· 1099 or employee designation to be determined

· Position hours 40 hours weekly (but open to discussion based on needs)

· Hourly rate to commensurate with experience

· A work computer will be provided

· Home office stipend to be discussed

Pay: $20.00 - $40.00 per hour
