Job description
- Draft confidential correspondence, edit documents, take, and transcribe minutes of meetings, and perform other administrative and secretarial duties.
- Create, maintain and/or update various databases – break down, analyze, and present data for management information reporting purposes.
- Serve as a liaison between executives, internal management, employees, clients, and visitors as required.
- Examine incoming letters and emails, figuring out the best course of action, and keeping track of tasks that need to be completed.
- Take independent action on handling requests; determine the appropriate course of action, intervene where necessary, and act as a liaison between departments.
- Plan, coordinate, and support meetings and conferences - arrange domestic and international travel.
- Have a comprehensive understanding of a range of processes, procedures, systems, and concepts within own job function.
- Collect information, determine what it means and use that information to identify and solve difficult issues, even when there are no similar situations to reference.
- Impact own team and other teams whose work activities are closely related.
- Suggest improvements to existing processes and solutions to improve the efficiency of the team.
- Evaluate and communicate unusual and/or complex content in a concise and logical way.
- Provide efficient, timely, reliable and courteous service to customers and present information.
- Write routine reports and correspondence and respond to common inquiries or complaints from clients, co-workers, and/or supervisors.
- High school diploma or general education degree (GED) required.
- Associate's degree preferred.
- 6+ years of related experience and/or training.
- 2+ years supporting an executive level individual/team.
- Excellent written and verbal communication skills.
- Strong organizational and reasoning skills.
- Advanced skills with Microsoft Office software (Excel, Word, PowerPoint and Outlook).
- High school diploma or general education degree (GED) required.
- Associate's degree preferred.
