Executive Administrative Assistant
Temporary to Hire
Location: Stockton, CA
Pay Rate: $65,000 to $75,000 DOE

_APS is seeking an Executive Administrative Assistant to fill an immediate opening with a specialized organization. The ideal Executive Administrative Assistant will be detail-oriented, humble, eager to learn and have a servant type demeanor.
Requirements of the Executive Administrative Assistant_

  • Three (3) or more years’ experience in performing a wide variety of office and administrative analysis and support work.
  • High school diploma required and bachelor’s degree in business administration, HR, or closely related field is highly desirable.
  • Strong attention to detail.
  • Excellent communication both written and verbal.
  • Prior experience supporting Executives and a Board of Directors.

Responsibilities of the Executive Administrative Assistant

The Executive Administrative Assistant serves as an assistant to the management team; relieving them of a wide variety of complex administrative details and responsible technical support work.

  • Oversees assembly, distribution and maintenance of the Board of Directors agenda packets.
  • Prepare minutes for Board of Director meetings.
  • Communicate frequently with Board of Directors, District management, co-workers, representatives from other agencies and the public in face-to-face, one-to-one and group settings.
  • Establish and maintain a wide variety of office and department files.
  • Attend staff and committee meetings, developing and maintaining minutes and following up as necessary with proper distribution of information and actions.
  • Schedule travel, appointments and meetings; develop itineraries and maintain calendars for Board members and management staff.
  • Ensure all projects are meeting deadline.
  • Managing calls and emails for General Manager
  • Schedule meetings and manage GM’s calendar.
  • Prepare a wide variety of complex correspondence, memoranda, technical reports, tracking and other items as delegated.
  • Review correspondence, reports, records and other items for accuracy, completeness and compliance with established standards.
  • Assist with resolving a wide variety of complex administrative issues.
