The mission of Alumni and Affiliate Relations is to engage those constituencies with a strong connection to UC Davis in programs and activities that enhance that connection for the benefit of the campus in multiple ways. These include alumni, parents, students, retirees, and emeriti. Through enhancing these connections, the Office of Alumni and Affiliate Relations serves as a critical component of the overall division of Development and Alumni Relations.

Under general supervision of the Assistant Executive Director of Alumni Relations, manage operations for the Walter A. Buehler Alumni Center. The Facility Manager’s responsibility is to oversee event reservations, client relations and ensure coordination of all venue-related aspects of events, billing, reporting and building maintenance. Work with campus services and units to ensure the safe and successful production of events. Hire and train student staff to support venue-related support for events and customer care.

  • Access to reliable transportation to off-site events and meetings is required. Must work CAAA events including Parent and Family Weekend and Move-In Days, Picnic Day, CAAA Awards Gala, Homecoming, board meetings, and others as assigned. Work occasional evenings, weekends, and holidays.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

  • Experience in facility management practices and procedures.
  • Experience in managing event venues and facilitating events such as performances, lectures, banquets, conferences, trade shows, and athletic events.
  • Experience with event scheduling and booking procedures. Experience setting up and troubleshooting audio-visual equipment.
  • Experience training and supervising staff.

Minimum Knowledge, Skills, and Abilities (KSA) :

  • Decision-making and problem-solving skills.
  • Interpersonal and communication skills to interact with various constituencies from diverse cultural backgrounds and perspectives in a professional manner.
  • Skills to analyze financial data to develop and adhere to budgets.

PREFERRED QUALIFICATIONS

Preferred Knowledge, Skills, and Abilities (KSA) :

  • Knowledge of University policies and procedures relating to the use of University facilities.
  • Organizational skills to effectively facilitate the efficient running of an event center, which has numerous and varied events and skills to manage multiple tasks and projects, set workload priorities and meet deadlines.
  • Knowledge of fire and safety codes, regulations, and emergency procedures related to public assembly facilities.
  • Skill to author reports, correspondence, etc.
  • Organizational and multi-tasking skills to effectively manage simultaneous needs of a high volume programming; set workload priorities and meet deadlines
