The Organization

Beacon Interfaith Housing Collaborative has a vision that ‘all people have a home’. We are an experienced housing organization that operates supportive and affordable homes, develops affordable and supportive housing, shelters families, and organizes to impact housing policy. Our focus is on households who make less than $30,000 a year and those who are experiencing homelessness. The nearly 100 congregations who make up our collaborative are putting their faiths into action through leadership, advocacy, organizing, and service.

The Position

The Events & Data Coordinator is responsible for coordinating, supporting, and executing virtual and in person events to advance the mission of Beacon Interfaith Housing Collaborative. This staff member is accountable for upholding Beacon messaging, communications, brand standards and commitment to diversity, equity and inclusion in all organizational events. As a member of the Advancement Operations team, this person plays a key role in maintaining and managing supporter data to help us build strong relationships to advance
Beacon’s mission and report on event participation and outcomes to help the organization understand the efficacy of events as part of its strategic outreach.

This is a full-time position, and is eligible for health benefits, our retirement plan, and paid-time off. This is a bargaining-unit (union) position. The hourly rate for this position is $25.56 ($53,160 per year).

DUTIES AND RESPONSIBILITIES:

Integrated Event Coordination (35%):

  • Creates and upholds best practices and event standards that help Beacon as we strive to host inclusive, accessible events that enable all individuals to engage fully.
  • Develop, communicate, and integrate a checklist of standards/needs from organizing, policy, fundraising and brand into all current and future events, public meetings, and trainings.
  • Manage event submission process including scheduling events on the Events & Communication calendar, posting events to the Beacon website, and creating registration forms.
  • Consult with event staff lead to execute on their event theme, program, goals, and atmosphere.
  • Engage in 12-month event workplan creation with other Beacon departments.
  • Communicate events schedule and metrics across Beacon departments.
  • Manage and maintain all event process standard operating procedures and training for coverage team.

Event Data, Metrics, and Reporting (25%):

  • Determine data points to be gathered for each event, input them into the database and train teams on how to access these data-points for their own work.
  • Manage and enter all event data with a high level of accuracy.
  • Integrate event attendance with interest areas and other segments in database. Set and communicate qualitative and quantitative metrics for each event during pre-planning process.
  • Ensure appropriate data points are gathered to measure for metrics.
  • Report on and analyze resulting metrics promptly post-event to staff leads. Name, communicate, coordinate and track improvements based on learnings.

Event Logistics (15%):

  • Manage event-related tasks, including venue selection and contract review, catering, set-up, purchasing, materials, technology needs, and cancellations as-necessary.
  • Manage vendor relationships, aligned with Beacon’s goals related to race equity.
  • Support organizational learning related to hybrid/virtual best practices and platforms
  • Manage to budget, in consultation with staff lead.
  • Ensure onsite coordination and logistics are anticipated, articulated, and covered.
  • Organize and lead volunteers as necessary.

Advancement Operations Data Support (25%):

  • Support data entry for policy and organizing data
  • Support gift entry during peak seasons and maintain training throughout the year to meet high expectations for timeliness and accuracy.
  • Support regular data maintenance and clean-up procedures.
  • Support data related administrative duties of the advancement operations team as requested.

Qualifications

  • One year of professional event coordination preferred.
  • Experience using a donor or CRM database; experience with Raisers Edge a plus.
  • Experience working in deadline driven environments; nonprofit experience preferred
  • Extensive knowledge and comfort with technology and software including Zoom, Windows, Word, Excel, and PowerPoint

Knowledge, Skills, and Abilities

  • Ability to move multiple timelines forward simultaneously, finding ways to create efficiencies across events.
  • Ability to work well in a team environment, take direction, and work independently to achieve goals
  • Ability to meet or exceed deadlines while managing multiple priorities
  • Strong organizational, project, and time management skills, ability to self-direct time spent and communicate needs about pace of work.
  • Proven ability to work independently as well as collegially and collaboratively in a team setting and with a variety of groups
  • Ability to lift and carry supplies for event set-up.
  • Availability to work in person for public events, and some tasks and meetings
  • Access to reliable transportation to event locations throughout the Twin Cities metro area.
  • Mileage is reimbursable.
