Salary Information

Salary for Events Coordinator I: $ 76,112.40 - $ 92,492.40

Salary for Events Coordinator II: $ 83,800.08 - $101,927.28

This amount includes an approximate five percent (5%) ongoing non-pensionable pay. The actual salary shall be determined by the final candidate’s qualifications and experience.


Positions & Duties


Per the City’s COVID19 Mandatory Vaccination Policy, the City requires all employees starting on or after February 11, 2022, to provide proof of vaccination as a condition of employment absent a documented medical and/or religious exemption. Proof of vaccination means that employees are required to be “up-to-date” with regards to the COVID-19 vaccine. Consistent with the Santa Clara County Public Health Order issued on December 28, 2021, "up-to-date" means that an employee is not only "fully vaccinated," but has also obtained any booster doses of a COVID-19 vaccination for which they are eligible, within 15 days of first becoming eligible.

The Department of Public Works is seeking to fill a vacant benefited Events Coordinator I/II position in their Facilities Management division.

The Events Coordinator I/II is responsible for planning and coordinating multiple events at City Hall. The Events Coordinator I/II acts as a liaison between the event organizer and any government agency or other entity required to coordinate events. Events include conferences, corporate meetings, fundraisers, weddings, ceremonies, performing arts, art shows and exhibits. The Events Coordinator I/II also performs other activities related to event coordination such as issuing permits and billing clients.

Responsibilities for this position include, but may not be limited to:

  • Plan for and coordinate multiple events to include reviewing and evaluating event plans; developing detailed diagrams, layouts, and procedures; providing recommendations to event organizers and groups; holding pre and post event meetings; and distributing information to all City and/or contractor personnel for implementation of all contractual obligations and conditions prior to the event.

  • Attend events and provide on-site management including, leadership and expert advice, authorize service adjustments, determine actions in emergency situations and act as a liaison with Police and other departments.

  • Negotiate and administer contracts for equipment, services and labor provided to clients, patrons and the general public by the City of San José.

  • Meet with representatives from other departments, unions, businesses, and community groups to discuss and prioritize client/participant requests, prioritize assignments, and determine facility requirements.

  • Prepare event budgets and monitors event expenditures. May produce revenue projections and perform revenue analysis.

  • May act as a lead to lower level Event Coordinators and/or other staff.

  • This position will require working extended/irregular hours including nights, weekends, and holidays periodically.

Qualifications


1.Education: Bachelor’s degree from an accredited college or university in business, public administration, hospitality management or a related field

Acceptable Substitution: Additional related experience coordinating events at the level equivalent to a Recreation Program Specialist or Community Coordinator with the City of San José, may be substituted for the education requirement on a year-for-year basis.

2. Experience:

Event Coordinator I: None

Event Coordinator II: Two (2) years of coordinating a variety of events in a large cultural, convention or entertainment facility, of which one (1) year must have been at a level equivalent to the class of Events Coordinator I with the City of San José.
