Job Summary

The Harvard John A. Paulson School of Engineering and Applied Sciences (SEAS) seeks a dynamic, collaborative, and detail-oriented teammate to help create and run successful events and to provide marketing and communications expertise for its master’s and professional programs. The Events and Communications Coordinator will support both the master’s programs and the growing professional programs team. This position reports directly to the Assistant Dean for Professional Programs with a dotted line to the Director of Master’s Programs.

Position Description

Event management

  • Responsible for supporting, coordinating, and marketing in-person, virtual, and hybrid events, including receptions, project showcases, open houses, panels and conversations with scholars, students, and internal custom/SEAS-only educational programs.
  • Serve as the primary point of contact for events. Develop and maintain successful working relationships with internal clients and external collaborators including speakers, program and facilities staff, media services, photographers, captioners, catering vendors, waitstaff, and security as well as representatives or participants from other centers and organizations inside and outside of Harvard.
  • In collaboration with the Administrative Coordinator, manage event logistics, working within a predefined event budget. Typical activities include sending invitations and tracking responses, handling catering and rentals, ordering A/V and testing A/V setups, making recommendations for food and activities for participants, assigning and coordinating space and room assignments and handling signage.
  • Maintain registrations, files, and deliverables. Organize and systematize event production and the publication of event video recordings.
  • Work collaboratively with administrative team to coordinate travel logistics and handle questions and issues for visiting speakers and event participants, as needed.
  • Works on site at events, greeting attendees, helping with registration, troubleshooting and resolving last minute issues.
  • Handle post event duties including sending follow-ups, processing invoices and reimbursements, and making event video recordings available.

Marketing and communications

  • In collaboration with the SEAS Communications Office, and with master’s programs and professional programs teams, plan, execute, and manage day-to-day social media channel strategy, and timely community messaging (channels include but are not limited to: Slack, LinkedIn, Facebook, Instagram, Twitter and YouTube).
  • Keep current with social media management standards, trends, policies, and best practices; sharing with the other teams as appropriate.
  • Work collaboratively with outside writers, proofreaders, photographers, and other vendors as needed.
  • Develop internal social media newsletter and/or other communications including design, content, and distribution.
  • Produce annual reports and other collateral material in collaboration with master’s and professional teams.
  • Ensure updates and organization of program websites and digital and printed program materials and other communications as needed in collaboration with master’s and professional program teams.

Basic Qualifications

5 or more years of related experience. Education beyond high school may count towards years of experience.

Additional Qualifications and Skills

  • 3+ years of experience in events planning and/or marketing communications with the ability to manage events with multiple stakeholders.
  • Excellent organizational skills with the ability to prioritize work in an environment with multiple and conflicting interests.
  • Proven project and/or program management skills.
  • Demonstrated ability to work effectively with people of diverse cultures and backgrounds.
  • Excellent interpersonal and written and oral communications skills.
  • Ability to work independently with minimal supervision.
  • Fluency in Microsoft Office suite, Google Suite required. Experience with CRM systems (e.g. Salesforce), project/event management software (such as Smart Sheets, Asana, Trello, C-vent, Splash, Eventbrite); video-conferencing (e.g. Zoom, Google Meet); and updating websites desired. Experience with survey software such as Qualtrics/Survey Monkey a plus.
  • Candidates must be able to work weekday evenings as needed to provide onsite event support.

Additional Information

  • The office is currently operating with a hybrid workplace model. This position will require 3 or more on campus workdays each week. Individual flexible and hybrid work options for this role may be discussed during the interview process. All remote work must be performed in a state in which Harvard is registered to do business (CT, MA, MD, ME, NH, NY, RI, and VT).
  • The onsite work location is 150 Western Avenue, Allston MA – Science and Engineering Complex.
  • This position requires working onsite at events. On occasion, events will take place during weekday evenings and will require on-site support. Candidates must have the flexibility to work evenings on site as needed.
