Estimating Coordinator

Company Overview: Our client has an exciting opportunity for an Administrative Assistant focused in Procurement & Business Development with successful and progressive experience in providing direct administrative and project support to the Sr. Vice President of Preconstruction Services, Chief Estimator and Estimating Staff. This highly visible position requires a professional demeanor, excellent communication and organizational skills and the ability to work on wide range of tasks and initiatives, all in a fast-paced environment. The candidate must also understand and create a variety of business reports utilizing several different software applications and have experience in the preparation and submission of public constructions bids and proposals.

Responsibilities:

  • Performs diverse administrative support to the estimating and business development staff, requiring knowledge of organizational policies, practices and procedures and involving high-level contacts.
  • Handle sensitive and confidential information with tact, diplomacy, discretion, and judgment.
  • Complete specific assignments that may require attendance at and documentation of meetings.
  • Prepare memos, reports, spreadsheets, and presentations, which may require the gathering of data from various internal and/or external sources.
  • Order bid documents and assist with bid preparation and submission for construction, paving and design/build projects. Maintain bid and proposal-related information.
  • Assist with the processing of contracts.
  • Work with bonds and insurance for proposals and contracts.
  • Maintain project information and other relevant data used in proposal preparation.
  • Prepare corporate pre-qualifications.
  • Review and distribute incoming mail.
  • Work closely with other administrative support positions as needed.
  • Coordinate multiple projects with competing priorities.
  • Interact with multiple departments to gather information and prepare reports as required.
  • Compose detailed correspondence and recommend updates to department documents as needed.
  • Provide support for the preparation of proposals, brochures, and other sales-related media.
  • Interact with other department heads.

Qualifications:

  • BS in Marketing or Business Management beneficial but not required.
  • Minimum of 4 years of similar professional experience with senior-level management support and public bid preparation.
  • Proficiency with Microsoft Office software (Word, Excel, Outlook, Access, PowerPoint, Publisher, and other graphics programs).
  • Must possess high level of attention to detail.
  • Must possess excellent verbal, written, and interpersonal skills.
