This Editorial Assistant position is part of the faculty support services department at Vanderbilt Law School. The Editorial Assistant provides administrative support to the Ph.D. Program in Law and Economics. Duties include handling confidential matters, tasks involving complex detailed, and technical work, and assisting faculty and the Program with a variety of research, scholarship, committee, budget, and teaching tasks, and responsibilities. The Editorial Assistant interfaces with faculty, staff, and students to assist faculty members in accomplishing their teaching, publishing, and service goals. The Editorial Assistant reports functionally to the Co-Directors and administratively to the Administrative Program Manager for the Ph.D. Program in Law and Economics. The Ph.D. Program in Law and Economics at Vanderbilt is a joint-degree program in which students earn both a J.D. and a Ph.D. in a fully integrated six-year curriculum. It combines analytical training in economic theory and methodology with the study of law. While one can separately earn a J.D. and a Ph.D. in economics at many other universities, our program is unique and distinctive in that training in economics is fully integrated with training in law. Upon completion of the program, you will receive a Ph.D. in Law and Economics and a J.D. The Ph.D. Program in Law and Economics at Vanderbilt was the first Ph.D. program to be administratively based in a law school.
Duties and Responsibilities:
  • Editorial and Research Project Management

    • Prepare professional documents for publication by typing and formatting all content associated with publications, including text, references, tables, figures, charts, and appendices to conform to publication requirements and standards.
    • Review, edit, and proofread all submission drafts and page proofs after typesetting for accuracy and grammar.
    • Submit manuscripts for publication using online editorial management systems in accordance with journal or publisher submission requirements.
    • Conduct research using online databases (e.g., Lexis, Westlaw, Social Sciences Research Network, Google Scholar, EconLit), download and assemble articles, citations, or cases at the professor’s request.
    • Assist faculty in tracking and monitoring research-related expenditures.
  • Administrative Support

    • Assemble and prepare class materials, correspondence, speeches, minutes, memoranda, reports, special projects, and manuscripts of a complex and technical nature.
    • Prepare and post classroom material to Brightspace (e.g., class assignments, course materials).
    • Assist individual professors with grades, exam preparation, course evaluations, letters of recommendation, and other highly sensitive student data and information.
    • Maintain faculty calendars, arrange appointments, and coordinate complex meeting schedules.
    • Handle domestic and international travel arrangements for assigned professors, including filing travel expense reports; assemble and submit passport and visa applications for international travel; use Concur (travel) and Oracle (expense) systems.
    • Assemble payment requests and procurement orders for Oracle Procurement Requestors. Maintain documentation of research-related expenditures; use University COA and POET numbers.
    • Serve as assistant to faculty for University, Law School, and external committees or professional associations/organizations.
    • Serve as liaison between professors and students, student research assistants, and other University departments or schools.
    • Handle incoming mail and correspondence; set up, organize, and maintain filing systems; and perform other clerical assignments as needed.
    • Assist the Law School Academic Affairs Office with exam distribution, proctoring, and compiling of completed exams during the heavy exam period.
  • Program Support/Event Coordination

    • Provide backup support for the program manager and assist with all major program events (e.g., Admitted Students Day, guest speakers, conferences, faculty workshops, class socials, and Fall and Spring socials).
    • Maintain web pages/websites for programs and special research projects for professors.
    • Prepare reimbursement requests for program activities that require the use of University COA and POET numbers.
    • Set up and maintain project/program files.
    • Maintain a high level of discretion and professionalism to assemble and work with confidential and sensitive information.
    • Assist with arrangements and coordination for domestic and international off-site conferences.
    • Coordinate complex meeting/conference/event logistics and program budgetary activities with the Law School Event Services and Law School Finance & Administrative Services offices, including media services, printing services, catering, travel arrangements, and hotel and restaurant arrangements.
    • Handle domestic and international travel arrangements for guest speakers, panelists, and conference registrants, including filing travel expense reports and reimbursement requests.
    • Design event posters, fliers, signage, and conference materials.
    • Compile lists of participants or registrants for conferences/events.
Qualifications

  • A Bachelor’s degree or the equivalent (education and/or years of experience) is necessary.
  • Prior experience in proofreading and editing and strong command of the English language are necessary.
  • Strong computer skills, including expertise in MS Word, Excel, PowerPoint, and Adobe Acrobat, and the ability to learn new software applications easily are necessary.
  • Ability to prioritize and complete multiple complex tasks with minimal supervision is necessary.
  • Experience in a higher education setting is preferred.
