Job Summary
The DME Coordinator is responsible for the inventory and management of all durable medical equipment (DME) for Vail, Edwards and Frisco office locations and ensuring that all patients are provided and fit for products. Accurately bills out to insurance under the guidance of the Breg Vision Impact Software system.

The Details of the Job*
Essential Duties and Responsibilities

  • Responsible for the inventory, ordering, and stocking of all durable medical equipment across three office locations; Edwards, Vail, and Frisco.
  • Responsible for brace and crutch fitting and product education.
  • Responsible for fitting products and providing appropriate directions for fit and use to the patient at the direction of the provider.
  • Coordinating patient tech visits for products that require authorization and will delay same day issuance to the patient.
  • Responsible for understanding benefits and insurance requirements for durable medical equipment issuance.
  • Responsible for understanding of the Breg Vision Impact Software.
  • Educates patients on their out of pocket and financial responsibilities for all durable medical equipment prescribed by the providers, based on information provided by the Breg Vision Impact Software.
  • Communicates with the billing department to ensure that billing is consistent and to note any changes seen in insurance company requirements.
  • Ensure that all clinical staff are educated on expectations and work flows for durable medical equipment issuance.
  • Document all treatments in EMR system. Ensure that clinical teams are appropriately documenting all necessary items for insurance requirements.
  • Act as liaison to Breg local, state, and regional representatives.
  • Maintains relationships with vendors regarding service and quality of products.
  • Communicates with leadership feedback and efficiency of protocol.
  • Identifies and resolves patient and customer service issues or concerns.
  • Use proper infection control procedures adopted by affiliated Surgery Centers and hospitals.
  • Meet the Company’s expectations as described in the VSON Policies and Practices.
  • Maintain confidentiality of Personal Identifiable Information (PII) in accordance with company Policies and State and Federal laws, including OSHA and HIPAA regulations.
  • Perform job in accordance with all company safety practices.
  • Other duties as assigned.

Work Environment and Conditions
This job operates in a medical office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
This role may have frequent exposure to communicable diseases, toxic substances, ionizing radiation, medicinal preparations and other conditions common to a clinic environment.
Work may be stressful at times. Interaction with others is constant and may be interruptive. Contact involves dealing with injured people who may be angry or upset with their situation.
Physical Demands
The position is very physical and requires standing for long periods of time, stooping, kneeling, crouching, bending, stretching, and may or may not require supporting of patients’ body weight.
While performing the duties of this job, the employee is regularly required to talk or hear. It is necessary to view a computer monitor for medium periods of time.
Duties require manual dexterity sufficient to operate a keyboard and mouse, operate a calculator, telephone, copier, scanner and other office equipment as necessary.
What it Takes to Do the Job
Knowledge, Skills and Abilities

  • Skilled understanding of surgical procedures, orthopaedic recovery/rehabilitation procedures, and emergency procedures
  • Ability to provide comprehensive, clear documentation in the EMR regarding patient progress and history.
  • Must demonstrate excellent interpersonal skills, building rapport, trust, confidence, and goodwill with potential and assigned patients; Must proactively and effectively communicate with office team and surgeon.
  • Skill in using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
  • Ability to use deductive reasoning to apply general rules to specific problems to produce answers that make sense, as well as inductive reasoning to combine pieces of information to form general rules or conclusions (includes finding a relationship among seemingly unrelated events).
  • Ability to keep detailed reports, and use information technology including email, web navigation, Microsoft Suite programs, clinic information systems, e.g. scheduling software.
  • Ability to communicate with different audiences in a simple, clear and concise manner.
  • Ability to work under pressure and with strict deadlines.
  • Ability to identify when confidentiality, discretion and judgment are needed, and exhibit these traits appropriately.

Education, Experience and Certificates

  • Previous experience with durable medical equipment preferred.
  • Experience working with insurance companies, same/similar, prior authorizations, and reasonable lifeline, preferred.
  • Bachelor’s degree in Athletic Training, preferred.
  • BOC Certified Athletic Trainer (ATC), preferred.
  • BLS Certification, required.

Pay: $54,000.00 per year
