The Acquisition Services Management (ASM) Division is seeking a highly motivated, customer focused and experienced administrator to provide support to multiple managers and staff in a service organization. This position reports to division level managers but will support multiple group managers in a team environment marked by adaptability and a willingness to provide support where needed.

The ideal candidate should have excellent communication, organization, and problem-solving skills. While executing your responsibilities, you will consistently maintain a professional office atmosphere, as well as demonstrate attention to detail and accuracy, versatility, tact, and confidentiality in all matters. The successful candidate will have a customer-focused approach to administrative responsibilities and will work cooperatively with staff and peers in a diverse office environment.

Job duties will include but are not limited to the following:
  • Execute complex administrative and office-related functions and activities requiring sound judgement, initiative, and independent action.
  • Coordinate multiple calendars and complex schedules.
  • Serve as timekeeper for the division.
  • Coordinate meeting/conference scheduling and logistics.
  • Coordinate domestic travel and reimbursements.
  • Generate a variety of internal and external professional correspondence.
  • Serve as Designated Procurement Representative (DPR) for the division.
  • Receive, review, prioritize, track, and distribute incoming and outgoing messages, including electronic and hardcopy mail.
  • Serve as a records manager for the group (maintain electronic and hardcopy files).

What You Need

Minimum Job Requirements:
  • Experience and proven competence performing high-level administrative support and office management to multiple managers with minimal supervision and interacting with all levels of personnel.
  • Demonstrated computer skills in MS Office Suite (Word, Excel, PowerPoint, Outlook, MS Teams, etc.) and demonstrated ability to learn Lab business systems (Oracle, Concur, etc.).
  • Experience with complex calendar management for multiple managers.
  • Excellent record of professional behavior, dependability, availability, and punctuality, while maintaining attention to detail and accuracy.
  • Demonstrated professional oral and written communication skills, including grammatical proficiency, formatting, and editing.
  • Demonstrated strong interpersonal skills, providing high quality and professional customer service to individuals at all levels.
  • Demonstrated ability to work with business-sensitive information, exercising tact, discretion, and good judgment in dealing with confidential and sensitive matters.
  • Ability to provide on-site administrative support in Los Alamos or Santa Fe several times per month.

Education/Experience: Position requires a High School Diploma and five years related experience; or, an equivalent combination of education and experience directly related to the occupation. At this level, additional training, certification, and/or education may be desirable.

Desired Qualifications:
  • Designated Procurement Representative (DPR) experience including willingness and ability to obtain and use a purchase card for the division.
  • Experience with LANL Lab-wide systems (Oracle, Ariba, Concur) and SharePoint.

Location: This position is designated as Telework and the selected candidate will perform work from a remote/home location within a two-hour ground commute of the Laboratory. This position's designation as Telework may be modified at the manager's discretion. Ability to report on-site is a must for this position.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q(Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

  • Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
