Position Summary:

Cincinnati Ballet (CB) is seeking a Director of Events to join our Administrative team. The Director of Events is responsible for the successful implementation and coordination of all Cincinnati Ballet internal and private event programming. With a concentration on driving revenues for the organization through private rentals and managing expenses for the delivery of CB internal events programming. This position will collaborate with internal departments to meet specific requirements based on department objectives. This position will manage and be responsible for an events rental business by deploying space in the Margaret and Michael Valentine Center for Dance and is responsible for all event logistics. The position requires an organized, self-motivated, and proactive individual that has excellent interpersonal communication skills and attention to detail.

Interaction:

The position will interact with all Cincinnati Ballet departments and external rental clients.

Essential Duties and Responsibilities:

  • Responsible for the direct oversight of CB events and private rentals at the Center for Dance.
  • Promote, advocate, advance, advertise and drive new and existing private events.
  • Represent CB at local, regional, or online exhibits, trade shows, and appropriate opportunities to grow the private rental business.
  • Oversee the logistical plan and execution of all Cincinnati Ballet generated onsite and offsite events.
  • Manage events-related personnel when and as needed.
  • Maintain all event-related permits and licenses, such as the State of Ohio Liquor License and City of Cincinnati Food Service License, for the Cincinnati Ballet facility, including offsite events.
  • Provide professional development opportunities for direct reports including training.
  • Train staff on policies and procedures with open communication and performance feedback.
  • Responsible for executing events within the provided budgets for CB events, and Private Rentals.
  • Manage inventory controls of all supplies related to events including beverage supplies, equipment, and other items.
  • Regularly communicate expectations as well as distribute weeklyevents logistical schedules with internal constituents, external vendors, and or clients.
  • Recruit, hire, and train vendor partners, volunteers, staff, and external event facilitators in the usage of the Center for Dance.
  • Collaborate with all departments to facilitate and execute support of upcoming events, schedules, and post-event follow-up.
  • Manage all internal event requests and scheduling in coordination with building operations and production schedule needs.
  • Represent CB in communication with external vendors to coordinate and negotiate goods and services for events.
  • Build vendor relationships and the bidding processes to ensure the best service within a determined budget.
  • Maintain event service areas and venues adhering to all policies of Cincinnati Ballet Center and the Ohio Department of Health rules and regulations in coordination with building operations.
  • Maintain and procure inventory of supplies related to events including variable equipment, tables, chairs, and other items.
  • Manage equipment repair requests, equipment orders, and maintenance schedules.
  • Support program requirements, by executing, collaborating, and advising on event themes, floor plans, and décor, as appropriate. Work to leverage database in event planning functions. Enter event information into the base database when required.

For Private Rentals:

  • Provide sales tours for prospective clients.
  • Writes and executes private rental proposals and contracts.
  • Process all private rental billing and receiving.
  • Build, communicate and remain a lead point of contact for clients with regular and clear detailed notes and defined timely expectations.
  • Create and distribute the event advances for events-related activities to all necessary staff.
  • Collaborates with Operations Team for event-related safety, custodial, and event support needs.

Key Professional Experience and Education

  • High school diploma or GED; 5 years’ experience in event management, food, and beverage, sales, and marketing, or related professional area.

OR

  • 2-year degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or a related major, and 3 years’ experience in event management, food, and beverage, sales, and marketing, or related professional area.
  • Ability to set targets and develop strategies for success.
  • Excellent interpersonal, analytical, and organizational skills.
  • Attention to detail and accuracy in record keeping and finances.
  • Ability to develop event schedules, execute plans, and work under pressure.
  • Ability to proactively manage multiple tasks, prioritize work and meet tight deadlines.
  • Strong verbal, written, interpersonal communication, and problem-solving skills.
  • Experience with Windows-based applications including knowledge of databases, the Internet, spreadsheet, and Microsoft Office.
  • Demonstrated ability to work in a fast-paced environment.
  • Ability to collaborate, take initiative and make effective decisions.

Additional Eligibility Qualifications

  • To be considered for this position, candidates must be willing to complete a background check.
  • Candidates must be fully vaccinated as defined by the CDC. Fully vaccinated means two weeks have elapsed after the completion of a primary series (meaning both doses of the Pfizer or Moderna vaccines or the single-dose Johnson & Johnson vaccine).
