The Director of Development Operations and Stewardship sets the strategic vision for all development operations work, including designing and building new systems and processes and ensuring thorough documentation of all departmental policies and procedures. Oversees donor database operations; gift acceptance, processing, and acknowledgement; prospect research and management; gift accounting and financial reporting; compliance; grant administration; fundraising data analysis and modeling; department budgeting and expense reporting; donor events; and donor fund stewardship. The position is also responsible for supervising four members of the development team, Events Manager, Database Manager, Senior Coordinator for Development, Executive Coordinator for Development and Research.


A senior-level position, the Director of Development Operations and Stewardship serves as a strategic partner to the Chief Development Officer (CDO), assisting in the development of fundraising strategies and providing dashboard reporting and analytics which inform the overall vision for the department. This position will work collaboratively with leadership from Development, Marketing, Finance and IT to ensure the successful and effective implementation of the department's annual development plan.


Expected Positive Outcomes:


  • Increase transparency and visibility of Division objectives and key results via dashboard reporting for the CDO by providing leadership and accountability to the other members of

the development, marketing, and communications teams.


  • Ensure goals are met while fostering project growth and innovation for Division deliverables by driving accountability, tracking and project completion.
  • Deliver all Development reporting with the highest data integrity and validation

to support senior leadership with business decisions and fundraising strategies.


Essential Functions:


  • Provide on-going management of day-to-day operations of the department to ensure organization wide integration and department wide effectiveness.
  • Create a collaborative working environment with internal departments, including but not limited to finance, IT, Marketing, Communications, Programs and Services to achieve organizational goals.
  • Ensure the development and implementation of policies and procedures related to the database; informing licenses and tools to optimize philanthropy operations; ensure the database effectively captures prospect and donor information; as well as generates accurate financial and analytical reports.
  • Supervise Stewardship, ensuring appropriate policies and procedures for stewardship of gifts and endowed funds that uphold donor intent and the highest ethical standards; maintenance and enhancement of systems that track timely and accurate documentation of stewardship and engagement efforts. The stewardship program should be systematized yet allow for creativity and opportunism in execution.
  • Oversee Database Manager who is responsible for day-to-day CRM functions such as developing and documenting business workflow processes and CRM usage guidelines, data hygiene and maintenance.
  • Train and support other members of the department to successfully activate the processes, practices, and policies for the department.
  • Own the creation of reports, dashboards, and data analysis models to identify trends and make forecasts and projections.
  • Lead all in-house Development department functions including, but not limited to acknowledgments; database management; campaigns; mailings; donor research; special events support; and donor engagement.
  • Develop and document business workflow processes and procedures.
  • Oversee data flow from the donor database to the Accounting financial system to ensure revenue reconciliation and the timely, accurate generation of fundraising progress reports as well fund expenditure reports.
  • Ensure the tracking of important key performance indicators related to donor engagement and fundraising effectiveness to support workflow and achievement of targets.
  • Forecast return on investment for appeals and programs based on internal and external benchmarks.
  • Provide oversight and production of accurate financial reports for the board.
  • Implement and maintain financial reporting to provide monthly status and variance reports to CDO.
  • Stay up to date on industry best practices and benchmarking trends as well as IRS rules and regulations regarding charitable giving and tax acknowledgements.
  • Provide leadership to special projects and perform other duties as assigned.
