The Development Coordinator position is key to advancing our mission at Stars. Reporting to the Director of Philanthropy and working closely with the Development team, the Development Coordinator manages a wide range of activities, including managing our donor management database, training and managing volunteers, creating and running financial reports, working with vendors, managing budget expenses, and helping with fundraising events.
This role enhances the donor relations efforts while advancing crucial administrative processes that support Stars’ overall fundraising success. Responsibilities include:

Data Management

  • Lead our data management efforts and ensure the safe, effective management of vital data to better serve our donor management database
  • Oversee the daily internal operations and manage all donation processing, receipting, acknowledging, and pledge management activity
  • Manage monthly financial reconciliation, data integrity of donation information, and data input, while adhering to departmental policies and procedures
  • Create, maintain, and execute queries and reports that track fundraising progress
  • Serve as the point person for list management and execution for mailings, e-communications
  • Support development staff on creation and distribution of newsletters, online appeals, and e-blasts

Event Coordination

  • Provide logistical support of in-person and virtual fundraising events, and site visits including preparing materials, coordinating schedules, identifying vendors, staffing registration and monitoring post event follow-up, etc.
  • Tracking key metrics such as meeting attendance, expenses, and member engagement activities
  • Manage Star’s event calendar to increase efficiency in planning and execution of events
  • Identify and work with relevant vendors, including caterers, AV, graphic designers, venues, photographers, consultants, and identify and solicit in-kind donations for events
  • Create and manage event timelines, deadlines, and event deliverables, including liaising with external partners, as well as event collateral including invitations, signage, etc.
  • Assisting with other projects as needed

Corporate Volunteer Project Management

  • Develop and manage comprehensive Volunteer Handbook
  • Working closely with members of the Corporate Team and our agency and school partners to identify, develop and implement high-impact service opportunities for large scale days of service, including; sourcing and developing hands-on projects including painting, landscaping, carpentry, and opportunities to directly support students/programs
  • Recruiting, scheduling and training on-site Corporate Project Leaders; ensuring leadership is prepared to manage project tasks and has adequate support
  • Collecting and reporting on project data using Constant Contact based data system;
  • Implementing new processes for efficiency and project success with Philanthropy Director
  • Work closely with all program and department managers to periodically assess needs for volunteer expertise and level of volunteer staffing
  • Plan and execute volunteer appreciation and training activities
  • Develop and administer annual volunteer satisfaction survey; compile and report results to Director of Philanthropy

Qualifications

  • Bachelor’s degree
  • Experience in a nonprofit setting/fundraising environment
  • Personable, with excellent analytical and project management skills, multi-tasking abilities, attention to detail, and an ability to translate technical issues to non-technical audiences
  • Minimum of 3 years of experience gift processing, fundraising principles, and producing reports from a database application
  • Excellent writing and communication skills
  • Computer proficiency in Microsoft Office programs, especially data sorting/manipulation in Microsoft Excel
  • Experience with DonorPerfect or similar donation management software
  • Familiarity with additional fundraising and communications tools such as Constant Contact, Canva, and Facebook/Instagram fundraisers
  • Flexibility to work outside the normal schedule to accommodate and support occasional evening/weekend events and fundraising/volunteer projects or planning meetings (generally 1-2/month at most)
