JOB SUMMARY:

The Data Management Specialist will be responsible for maintaining data in HR system through monitoring, troubleshooting, correcting and processing transactions with the HR system. The Data Management Specialist performs audit procedures for validating the accuracy of the information with the system.

KEY RESPONSIBILITIES:

  • Ensure employee records in core HR systems align with current standards. Perform routine checks, validation, and audits to ensure the integrity of the data in the systems is 100% compliant and accurate based on what has been provided or submitted through system workflows.
  • Ensure that new hires are entered properly, process any compensation changes, terminate employees
  • Partner with the Payroll team to ensure all changes are processed timely for upcoming pay dates
  • Performs audit procedures for updating, validating, and correcting employee records or other related HR data
  • Maintain data in HR system ensuring information is available on a timely basis by performing group data updates (mass loading), exports, imports, clean-ups, and research/report on any data discrepancies. Monitor data integrity that flows to downstream systems; research issues for the root cause; and engage the necessary resources to resolve them.
  • Help support data quality initiatives by maintaining data integrity in systems using queries, reports, dashboards, and data analysis.
  • Manage critical elements of employment data and documents and process sophisticated data updates, partnering cross-functionally with teams to ensure accuracy and integrity of data within our HR system.

TECHNICAL CAPABILITIES:

DATA ENTRY (INTERMEDIATE): The ability to transcribe information from the original source into an electronic system according to written and verbal instructions efficiently and accurately.

CUSTOMER SERVICE (INTERMEDIATE): A continuing focus on the needs and requirements of customers, anticipating their needs, remaining sensitive to customers while performing services for them, responsive to customer needs.

PAYROLL (NOVICE): Knowledge of payroll processing including entry of employee information, tax, benefits and other deductions, use of the appropriate payroll software or interaction with outside payroll services, and exception processing. Knowledge of payroll reporting such as earning statements, payroll journals, department summaries, cash positions, and tax liabilities and deposits.

DOCUMENT AUDITING (NOVICE): Auditing is conducting an independent review and examination of records and activities in order to test the adequacy and effectiveness of procedures, policies, standards, rules, capabilities and other aspects to ensure compliance with established policy and operational procedures, and to recommend any necessary changes.

POSITION QUALIFICATIONS
:

  • High School Diploma or GED (or equivalent experience) and 2 years relevant experience

  • Physical Requirements/Strengths needed & Physical Demands:
    • Sedentary category requiring exertion up to 10 lbs. of force occasionally and uses negligible amounts of force to move objects. Sedentary work involves sitting most of the time.
