Walnut Hill School for the Arts has an immediate opening for a Dance Department Associate to provide high-level operational and administrative support to advance all aspects of the Boston Ballet’s Professional Division at Walnut Hill School for the Arts.

The Associate supports and coordinates all aspects of daily operations and logistics for the program maintaining effective communication with students, faculty, staff, families, and colleagues at Walnut Hill and Boston Ballet. Working closely with the Interim Director of Dance, this position provides proactive administrative support looking ahead at the School year to plan for upcoming tasks. This position also provides support and assistance to Auxiliary Programs, Admission, and Educational Programs during breaks and the summer as assigned by the Assistant Head of School.

A member of a small but highly successful team, the Associate is a proactive team-player, who has excellent communication skills and enjoys working in a dynamic mission-focused organization. The ideal candidate has meticulous organizational skills, the ability to think creatively and critically, and is highly collaborative. Attendance at occasional evening and weekend events is required. Experience and comfort working with Google Suite, Microsoft Office, and Zoom is critical.

This is a 12-month, non-exempt, position reporting to the Interim Director of Dance and the Assistant Head of School.

Administrative Support & Office Management

  • Provide administrative/clerical support for the Boston Ballet Pre-Professional Division at Walnut Hill (Dance department);
  • Manage Dance department production and rehearsal schedules, in addition to weekly scheduling adjustments;
  • Organize and coordinates travel, compensation, and event planning for visiting guests / teaching artists;
  • Manage work-order system for facilities maintenance and event set-up;
  • Support departmental events and projects, including scheduling and program production for Senior Showcase, NextGen Dance, Student Choreographic Projects, and other projects as needed;
  • Participate in the school’s diversity, equity, and inclusion, and restorative justice initiatives; actively learn about and practice anti-racist work;
  • Document and provide summary reports for important decision-making sessions for Interim Director of Dance;
  • Support HR administration to help facilitate and onboard Boston Ballet dance faculty/staff entering Walnut Hill campus;
  • Prepare and schedule critical departmental meetings with students, and/or faculty and staff;
  • Support teaching staff in preparing and executing bi-annual student evaluations; and
  • Coordinate travel, meals, and housing accommodations as needed for students participating in a Boston Ballet mainstage production.


Communications

  • Create and send regular informative newsletters and updates to faculty, staff, students, and families;
  • Partner with colleagues at Walnut Hill as well as with Boston Ballet staff to support daily operations and logistics;
  • Provide ongoing support for members of staff, students, and families and respond to departmental related questions and needs by phone, email, and in-person;
  • Serve as a first point of contact for faculty/staff, students and families during the School day; and
  • Manage monthly Dance department calendar for BB/WH productions and/or joint faculty/staff meetings.


Event Support & Production Management

  • Coordinate and schedule projects and programs guided by the long-term planning efforts of the Interim Director of Dance;
  • Coordinate rehearsal, technical, and performance schedules for dance programs throughout the year;
  • Work directly with students to build and coordinate student choreographic schedules and rehearsal locations;
  • Work with other departments to ensure smooth events including dining services/catering, facilities, and technology; and
  • Create and maintain a calendar of events and organize notes for future years.


Auxiliary Programs, Admission & Educational Programs

  • Provide support and assistance to Auxiliary Programs, Admission, and Educational Programs during breaks and the summer; and
  • Work with colleagues in various departments during the summer months or other times when Dance department responsibilities are reduced.

  • Work collaboratively with colleagues across all departments to foster a positive working and educational environment for students and employees to support the school’s mission, vision, and core values;
  • Pursue PD opportunities in and out of school; display willingness and ability to grow, learn, explore new approaches, and practice self-reflection.


Skills & Qualifications

  • 1+ years of experience in administrative support; non-profit, arts, or education experience a plus;
  • Bachelor’s degree or equivalent experience required;
  • Knowledge of a professional ballet company and/or pre-professional ballet school a plus;
  • Non-ballet specific training or ballet teaching experience is welcomed; experience could include pilates, yoga, conditioning elements, and cross training;
  • Strong computer skills and demonstrated proficiency with Google applications and Microsoft Office Suite;
  • Ability to work independently as well as part of a collaborative team;
  • Professional work habits and the ability to handle confidential information with discretion;
  • High level of organization and strong attention to detail;
  • Strong interpersonal, written, and verbal communication skills combined with excellent project management skills;
  • Ability to prioritize, multi-task and accomplish set responsibilities while gracefully responding to unexpected tasks;
  • Excellent customer service and interpersonal skills and ability to work with a wide range of people – alumni, students, parents, faculty/staff, donors, board members, outside artists, and community members;
  • Experience with, or interest in, working with international students and families;
  • Demonstrated commitment to fostering a safe and inclusive community;
  • Possess or willingness to obtain cultural competence in working with diverse populations and commitment to learning about and practicing anti-racist work; and
  • COVID-19 vaccination or valid exemption required.

Physical Demands

Physical demands include dexterity for tools, equipment, and office machine and supply operation including but not limited to writing, typing, using electronic devices, computer, phone, calculator, copy/fax machine, and printers. Stooping, bending, traveling to/from locations on campus, ascending/descending stairs, reaching, and sitting or standing for extended periods of time are common.
