The Correspondence Coordinator Supervisor manages the day to day operations of Utilization Management (UM) letter production. They supervise the Correspondence Coordinators and ensure that regulatory, contractual, and quality standards of outgoing UM correspondence are met. They participate in the hiring, training, evaluation and performance management of staff.

Key Functions/Responsibilities:

  • Monitors inventory and workload distribution, and assignments
  • Collaborates with UM leadership and subject matter experts on workflow development and editing
  • Monitors productivity and quality results according to pre- defined metrics
  • Collaborates with UM leadership in establishing/revising department performance metrics
  • Escalates operational and performance issues to leadership
  • Trains Correspondence Coordinators on specific job functions
  • Develops and implements job aids
  • Maintains an up to date Correspondence Coordinator Manual
  • Conducts monthly and quarterly staff coaching and evaluations
  • Contributes to correspondence production as needed
  • Provides excellent customer service
  • Provides general clerical support to UM as needed

Supervision Exercised:

  • Regular supervision of up to six Correspondence Coordinators

Qualifications:

Education Required:

  • Associate’s Degree or the equivalent combination of training and experience

Education Preferred / Desirable:

  • Bachelor’s Degree preferred

Experience Required:

  • 5 years of administrative support, secretarial, or clerical experience in a health insurance or health care environment

Experience Preferred / Desirable:

  • 2 or more years’ experience producing organizational determination letters
  • 2 or more years’ experience monitoring performance in a production environment
  • 1 or more years in a highly regulated environment

Certification or Conditions of Employment:

  • Microsoft Office Specialist preferred

  • Ability to recognize opportunities for operational efficiency
  • Strong oral and written communication skills
  • Ability to motivate solid employee performance in a team oriented environment
  • Detail oriented: excellent business letter writing, proof reading, data entry and editing skills
  • Skill in operating/using standard office machines/equipment
