SUMMARY

Responsible for sustaining an effective support structure for the legal and human resources functions by managing specific processes, including the contract generation process; Assist and provide a range of legal support and administration; managing legal files, corporate documents and document templates; inputting and processing confidential HR and benefits records; organizing and coordinating various tasks in a highly professional manner using discretion across a variety of activities; and providing high-level administrative solutions and quality support as requested.

DUTIES AND FUNCTIONS

  • Assist with the HR and Legal department with required responsibilities with accurate and efficient performance.
  • Perform legal research, personnel documents, complaint files, and agency policies and draft memoranda and reports incorporating the research.
  • Gathering, analyzing, and evaluating documents and providing a timeline and summary of each file to VP of HR and in house Counsel.
  • Drafting and reviewing agreements, memoranda, and policies
  • Drafting brief updates on emerging employment laws and regulations
  • Litigation management, including maintaining litigation tracker database
  • Build and maintain databases and files
  • Assist in monitoring and managing all litigation and pre-suit disputes, including wage and hour claims, employee benefits claims, and significant internal investigations as directed
  • Creating and distributing litigation hold notices, Organize exhibits, documents, briefs, and appendices.
  • Managing and submitting legal bills to Accounts Payable department
  • Serving as the point of contact for initial legal or audit matters. This includes scheduling, coordinating, conducting in person meetings, telephone meetings, or online conferences. In addition, taking the lead in preparing agendas, briefings, timelines, responses, etc. relating to those matters.
  • Participating in HR departmental projects (e.g., audits, SOPs, etc.).
  • Perform research to defend complaints filed against LSGS. This includes reviewing current/former employee’s life cycle of employment history, creating a timeline of events and providing written summary of findings to VP of HR and In-house Counsel.
  • Review and manage correspondence, agreements, memoranda, and policies.
  • Manage responses to subpoenas, requests for discovery, and interrogatories.
  • Interface with government agencies, including EEOC, and respond to information requests.
  • Assist in monitoring and managing all litigation and pre-suit disputes including wage & hour claims, employee benefits claims, and any company investigations as needed.
  • Serve as the main point of contact with outside counsel and maintain communication accordingly.
  • Proactively research and review updates on emerging employment laws and regulations, draft briefs to ensure compliance.
  • Coordinate, schedule and prepare agendas for meetings/appointments for VP of HR and In-house Counsel.
  • Ensure effective communication among managers and involved parties while maintaining confidentiality.
  • Provide timely updates to VP of HR and Legal Counsel regarding any issues or reporting’s
  • Manage and submit legal invoices to Accounts Payable department.
  • Attend meetings and participate in HR departmental projects (e.g., audits, SOPs, etc.)
  • Maintain databases and files, reconcile/audit information and other general administrative tasks as needed.
  • Managing responses to subpoenas, discovery requests and governmental agency information requests

Performance Management

  • Success is partially measured by file movement, how man files are completed and ready for demand and closure. Whether the files are for legal research or case management instances.
  • Success is further measured by cases that are resolved in a timely manner.
  • Candidate must maintain effective working relationships with client personnel, recognize problems, offer solutions, inform management, and make recommendations for improvement. This will be done through verbal and written communication as assigned.

EDUCATION AND EXPERIENCE

Bachelor’s degree and paralegal experience (or comparable legal support experience) required

PREFERRED REQUIREMENTS

Minimum of two years’ experience in a corporate law department, HR department or law firm

  • Knowledge and understanding of the current issues and climate within emerging employment laws in the industry.
  • Minimum of two years’ experience in a corporate law department, HR department or law firm

KEY COLLABORATORS

This position will collaborate and support the Human Resources Leadership team and the Legal team.

PHYSICAL DEMANDS

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 15 lbs.
