We are currently searching for a dynamic individual to become the Corporate Assistant for our Corporate Office. Responsible to provide office coordination, logistical and administrative support to the organization’s Corporate Office and Board of Directors (BoD). Specifically, the position is responsible for assisting the CEO and Corporate Counsel, as well as providing general office management services, meeting and event coordination, and back-up to front desk for customer service to Corporate Office visitors and contacts. Assignment will be 20-25 hours per week.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provides calendar management, prioritizes tasks, troubleshooting conflicts with minimum guidance; makes judgments and recommendations to ensure smooth day-to-day engagements for the Corporate Office staff and the BoD.
  • Administers correspondence manages incoming calls, and prioritizes phone messages, emails, and mail for Corporate Office staff.
  • Acts as a liaison with the Board of Directors on behalf of the CEO as needed.
  • Set up staff meetings, maintained electronic staff calendars, and organizes team events.
  • Takes notes and distributes meeting minutes, agendas, and packages for staff and BoD meetings as needed.
  • Accurately tracks expenses for CEO and Corporate Counsel by managing credit cards and receipts. Process and submits receipts accurately and on schedule to the front desk.
  • Maintains strict confidentiality and uses a high degree of discretion.
  • Provides travel arrangements and will become familiar with the specific, complex needs of the CEO and other travelers, travel itinerary portfolios, and be available during travel times to quickly address any last-minute changes or cancellations.
  • Responsible for coordinating corporate activities, properties, and services as needed.
  • Protect the confidentiality of records and staff.
  • Other duties as assigned.

QUALIFICATIONS:

Education:
Bachelor’s degree preferred but not required.
Experience:
Prior experience managing an office setting with a minimum of three (3) years of executive administrative experience preferred.
Other:
  • Ability to type a minimum of 50 words per minute with strong data entry skills and experience using Microsoft Office programs, e-mail, and the Internet.
  • Demonstrated abilities in time management, document management, development of office systems, and task prioritization with strong organizational and decision-making skills.
  • Ability to efficiently use multiple software to complete various tasks.
  • Strong oral and written communication skills with demonstrated technical and business writing skills.
  • Maintain a professional appearance and decorum.
  • Ability to work independently while functioning as a contributing team member of the Corporate Office.
  • Valid driver’s license and insurability.
