Primary Purpose of Position
The Coordinator of University Recreation for Reservations and Events is responsible for working with the Associate Director of University Recreation on duties related to overseeing, planning, and implementing a comprehensive, departmental Reservation and Events Program based on the department’s mission, vision, and values. In addition, this position will have an integral role in hiring, training, and developing student employees to assist with the oversight of events and management of University Recreation facilities.
  • Directly oversee and manage 15-20 student staff to ensure staff provides the highest level of customer service for students, members, and guests.
  • Aid in the creation, planning, and implementation of a comprehensive training program related to events and facility oversight for student employees.
  • Provide instruction and development opportunities for staff through training, coaching, and performance evaluations that incorporate student learning outcomes.
  • Serve as backup to the departmental scheduler for University Recreation facilities. Assist with receiving, scheduling, and confirming facility reservation requests in the DSE (Do Sports Easy) scheduling system in the absence of the department scheduler.
  • Provide event management assistance to confirm special events, and coordinate meetings with event contacts to determine event logistics, size, and scope.
  • Assist in the development and implementation of strategic plans and goals that ensure growth, continuous improvement, safety, quality of programs, and participant satisfaction through program reviews and assessments.
  • Collaborate with program areas to cross-train on facility-related duties and services as needed
  • Partner and collaborate with key campus offices to ensure programs, services, and activities support an inclusive learning and work environment.
  • Attend and serve as the backup contact for weekly CRES (Conference, Reservation, and Event Services) meetings regarding facility requests.
  • Assist in the preparation of event fee estimates and invoices.
  • Resolve unique and conflicting event scheduling and planning situations.
  • Maintain and purchased department event equipment inventory.
  • Report building safety, security, and maintenance issues to the appropriate department contact or place a University work order.
  • Participate in the overall assessment planning, goal setting, and annual report data collection.
  • Assist with the development and implementation of tools to measure event satisfaction; generate routine satisfaction reports.
  • Assist with student development projects or duties as assigned.
  • Conduct periodic assessments to measure customer service and risk management issues for events.
  • Help create an environment that encourages, inspires, and supports innovation and professional development opportunities for student staff, including professional association involvement and training programs.
  • Provide student development through leadership, customer service, diversity, multiculturalism, student learning theory, and specific job duty training that accommodates various learning styles for student staff.


Be accountable to the department by contributing to a positive, friendly work environment that encourages, enhances, and demonstrates collaboration, teamwork, professionalism, and equity
among staff, students, and patrons on a daily basis. Attend and actively participate in staff meetings, in-service education sessions, and other divisional or departmental meetings. Serve on University Committee as needed. Participate in other Division of Student Affairs initiatives/programs as required. Assist in the overall operation of the department by providing input and completing assigned projects, annual goals, objectives, and annual reports. Seek opportunities with other university departments to offer co-sponsored programs and events. Perform other duties as assigned by the Director of the University Recreation and Leadership Team. Personal involvement and contributions to the National Intramural-Recreational Sports Association are highly recommended.

Minimum Education/Experience
Required Minimum Qualifications:

Bachelor’s degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

University Preferred Qualifications:

Graduation from a four-year college or university and one year of related experience; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Departmental Preferred Experience, Skills, Training/Education
EDUCATIONAL REQUIREMENTS:
  • Bachelor’s degree in Campus Recreation, Sports Management, College Student Personnel Administration, Higher Education Administration, or a related field.

EXPERIENCE & QUALIFICATION REQUIREMENTS:
  • Minimum of one year of event management experience
  • Experience recruiting, interviewing, hiring, training, scheduling, supervising, and evaluating student employees
  • Demonstrated interpersonal, presentation, written and verbal communication skills
  • Ability to work a non-traditional work week; 10:00 am – 7:00 pm weekdays (plus weekend hours, as needed)
  • Ability to work as part of a professional team and collaborate effectively with colleagues
  • Analytical skills to identify problems, assess alternatives, and render consistent and logical decisions

PREFERRED EDUCATION & QUALIFICATIONS:
  • Master’s degree in higher education, recreation, sport management, or a related field.
  • Recognized experience at the collegiate level in administration and supervision of student employees
  • Knowledge and experience in budget planning and fiscal management
  • Demonstrated success in implementing recreation programs for a culturally diverse population
  • Ability to thrive in an environment that values high expectations, accountability, and dedication to risk management
  • Current First Aid/CPR/AED certifications (ARC)
  • Certified Instructor for First Aid, CPR, AED, and Blood Borne Pathogen training or the ability to become a Certified Instructor within 6 months of employment
