Service Contractor: Event Planning and Production for 40
th Anniversary Event
This Freelance Contractor will report to La Clinica’s Chief development Officer and work in collaboration with our development team to support the planning and execution of our 40th Anniversary fundraising event: Fiesta del Barrio!

Fiesta del Barrio
La Fiesta del Barrio is an outdoor street block party/festival that takes place in Mt. Pleasant, DC in September, during Hispanic Heritage month. It is an opportunity for La Clinica to host one of the best grassroots Latino events in the DMV where community is central to its success.

This year is especially significant as it marks La Clínica’s 40th anniversary, a remarkable achievement that we seek to celebrate in community.
Following a three-year hiatus, due to the pandemic, we are thrilled to bring La Fiesta del Barrio back! It is a celebration of Latinx music and dance, culture and art, family friendly activities and free health screenings and navigation to resources for community members.
Through an experience of cultural entertainment, art, food, dance and health activities, each attendee will leave feeling part of a larger community and driven to ensuring it’s an inclusive and just community that fosters health for all.

Event Mission and Objectives:
  • Raise $40,000+ toward critical programs and organizational capacity building from sponsorships, vendors, and donations.
  • Facilitate FREE health screenings.
  • Facilitate positive and unifying interactions between community partners that deepen and amplify our shared goals for a more equitable, inclusive, and just community.
  • Promote community engagement and intergenerational connections.
  • Promote learning opportunities through storytelling, music and dance.
  • Expand La Clinica’s support network.

SCOPE of WORK – EVENT PLANNER and MANAGEMENT
  • Be the lead coordinator and keeper of the work plan and timetable (flexible work schedule) – making sure all tasks are followed through for a smooth and successful event. April – September 2023 (capped at 200 hrs)
  • Be the ringleader (commitment to dates in-person)– day of event – making sure all vendors, suppliers, and key people are delivering as expected and the event agenda progresses as planned.
    • Pregame - logistics, delivery of stage, chairs & tables, etc
    • Day of event - 7am set up; 10am vendor set up; event start 11am – 4pm; 4-6pm event take town.
    • Post event – final logistics with suppliers – coordination of drop off of rentals, etc
  • Fiesta Operations Plan (April - August)
    • Complete Project Management Plan with timetable with deadlines, owners, and specific tasks
    • Manage Project Management Plan and coordination with key points of contact to meet deadlines.
    • Take ownership of specific areas: permit conditions and requirements; vendor logistics; entertainment logistics; suppliers (signage, tents, chairs, bounce house, food truck); certificates for any awards and/or incentives LCDP will give out.
    • Regular communications/check ins with Chief Development Officer where planning stands and priority items that different events committee members need to complete.
  • Event lead up; day of; close out. (September)
    • Minute by minute lead of day
    • Coordination with Suppliers for delivery of products
    • Coordination with City agencies – street closure; parking restrictions; towing
    • Lead point of contact during event for permits, consent forms, management of entertainment agenda, support with troubleshooting issues that arise.
    • Coordination of take down (street must be cleared by 6 pm)
    • Any final logistics for suppliers and agencies following event (return of products, finalize timetable)

The successful Contractor will have:
  • Experience working with a variety of stakeholders and executing outdoor events/festivals for Non-Profits.
  • Experience working with MSETG DC permitting and requirements, permitting for outdoor city events, or comparable.
  • Highly organized, detail-oriented, and able to manage multiple projects simultaneously.
  • Strong understanding of fundraising principles and ethics; with discernible respect for confidentiality of donor information and organizational intellectual property.
  • Excellent interpersonal people skills with effective verbal and written communication abilities.
  • Experience with entertainment and stage logistics.

Schedule:
  • Flex schedule, primarily remote, mandatory availability in-person for event day.
  • 8:30am - 5pm LCDP development team regular working hours
