We are seeking a Contract Administrator for our Pasadena office. The incumbent will be a highly skilled individual who will be primarily responsible for supporting the team members in our legal and risk management department. This individual will have prior experience handling contracts or other similar legal documents, ideally within the real estate or asset management field, and be familiar with general contract verbiage and concepts. Additionally, this individual will have the ability to support the legal team with various administrative tasks. Excellent communication and organizational skills will be highly beneficial.

Essential Duties and Responsibilities:

  • Manage, maintain, organize, and be responsible for the contract administration process, ensuring that all contracts are completed accurately, and related insurance certificates are collected, reviewed, maintained, and renewed in a timely manner
  • Responsible for the drafting and negotiation of vendor contracts and purchase orders
  • Ensure accuracy and timely completion of all vendor contracts and purchase orders
  • Responsible for the preparation of finalized contracts for execution, handling the execution process, including, but not limited to scanning and distribution of final contracts to relevant parties
  • Track and review insurance certificates related to vendor contracts
  • Various special projects and legal contract administrative projects, as assigned

Qualifications and Experience:

  • Bachelor’s degree required
  • At least 3 years of contract administration experience( real estate or asset management industry experience, a plus)
  • Proficient in Microsoft Office products (Word, Excel, Outlook)
  • Must have excellent communication skills, written and verbal and be able to interact with all levels including, but not limited to senior management, outside consultants and vendors, etc.
  • Possess excellent interpersonal skills, and the ability to work closely with other team members and interact regularly with a variety of Company related personnel, vendors, etc.
  • Must have strong organizational skills and be detail-oriented
  • Must possess a positive attitude, be proactive, and have the ability to work in a fast-paced environment, prioritize, and meet deadlines
  • Strong time management and prioritization skills
  • The expected base salary range for this position is $80,000 USD to $110,000 USD annually. This salary range is an estimate, and the actual salary may vary based on the consideration of many factors, which may include, but are not limited to: the individual’s knowledge, experience, education, qualifications, skills, job location, and the Company’s compensation practices.
