The Saint Alphonsus Medical Staff Services Department is hiring for a highly organized and adaptable part-time Continuing Medical Education Coordinator to work onsite at our Regional Medical Center in Boise !

About the Position :

As the Continuing Medical Education (CME) Coordinator, you will coordinate activities and flow of work for the Continuing Medical Education (CME) Program for the Saint Alphonsus Health System physicians. This includes coordinating logistics (reserving rooms, dates, technology) and obtaining speakers and relevant healthcare topics for monthly and quarterly events with service lines and also the Spring Symposium. In addition, you will complete all related paperwork for the physicians attending events which includes assuring institutional compliance with various accrediting and regulatory bodies governing CME. In this role you will also work and communicate with all levels of colleagues from the CEO to physicians, to Service Line Directors, Trinity Health colleagues and leadership and the Medical Staff Office colleagues. You will also assist with Medical Staff Office functions and meetings as needed.

An ideal candidate will have strong written and verbal communication skills, critical thinking and problem-solving skills, be extremely detail- oriented, and have solid previous prioritization/deadline experience and skills. An ideal candidate will also have strong knowledge of the healthcare field, enjoy working with a variety of colleagues, and is very self-motivated.

Work Schedule : This position will work 20 hours per week, Mondays – Fridays, flexible business hours.

About the Medical Staff Services Department :

The Medical Staff Services Department provides medical staff with a variety of services to help them complete their jobs proficiently. The Department acts as a liaison between providers and administration, providing customer service to about 1,400 providers, and verify compliance and credentialing. As a colleague in the Department, you will learn compliance, credentialing, and continuing education requirements, while working in a strong customer service-based team environment.

Education/Experience Requirements :

  • High school diploma or equivalent required. Associates degree in a related field preferred.

  • 3 to 5 years of relevant work experience and project management work experience required.

Primary Responsibilities :

  • Knows, understands, incorporates, and demonstrates the Organization's Mission, Vision, and Values in behaviors, practices, and decisions.

  • Prioritizes multiple tasks and projects to ensure timely completion. Delegates and assigns work commensurate with knowledge, skill and experience, and ensures the work is performed appropriately.

  • Assists with problem identification and resolution, cost containment issues, implementation of new services, and systems/performance measures.

  • Facilitates the development, implementation and evaluation of program or area services and initiatives.

  • Serves as a resource to staff regarding departmental/area policies, procedures and services.

  • Coordinates the CME Medical Staff Committee, including preparing agenda and all necessary back-up material.

  • Assists CME department representatives in preparation of CME activity applications to assure approval of the educational activity.

  • Maintains computerized records of attendance/CME credits of attending and non-attending physician attendance at various CME events.

  • Prepares CME Committee Annual Report for Chief of Staff/Executive Committee.

  • Maintains knowledge and understanding of Continuing Medical Education issues and trends through educational programs, seminars, and readings.

  • Initiates, composes and types correspondence, memos, and recurring reports.

  • Prepares special reports and coordinates special projects as may be required by Graduate Medical Education.

  • Assists Director in developing CME forms and writing CME policies.

  • Assists Senior Program Coordinator in maintaining records and processing funds in support of CME activities.

  • Assists Director in maintaining the CME Program Policy and Procedure Manual.

  • Retrieves, receives, and reads incoming correspondence, reports, memoranda and mail. Screens items that can be routinely handled, prepares appropriate responses, and forwards remaining materials to manager or others with necessary background information. Processes outgoing mail and packages.

  • Regularly engages in a variety of contacts inside and outside the organization to obtain or relay information, arrange meetings, gather data, etc., often dealing with executives, medical staff or influential outsiders. Obtains and relays information on behalf of supported personnel, including data that may be sensitive or confidential in nature.

  • Responds to inquiries regarding departmental services, records and other matters by utilizing in-depth knowledge of departmental operations, and ability to interpret established departmental policies and procedures.

  • Places, receives and routes telephone calls and messages. Screens and prioritizes calls. Receives, greets and screens visitors, patients and/or employees. Ensures amenities are available. Notifies appropriate staff and directs visitors and deliveries to appropriate areas.

  • Performs a variety of general secretarial and administrative duties such as medical transcription, copying, collating, running errands, assembling and distributing packets, mailings and memos. Also performs duties and projects specific to the functions and needs of the department.

  • Maintains good rapport and cooperative relationships. Approaches conflict in a constructive manner. Helps to identify problems, offer solutions, and participate in their resolution.

  • Assumes responsibility for performance of job duties in the safest possible manner, to assure personal safety and that of coworkers, and to report all preventable hazards and unsafe practices immediately to management.

  • Requires critical thinking skills, decisive judgment and the ability to work with minimal supervision. Must be able to work in a stressful environment and take appropriate action.
