Job Summary
Under general supervision, maintains accounting records including, but not limited to, accounts payable, accounts receivable, and file maintenance; keeps accurate levels and ensures inventory is available and ready for use by performing the following duties.
Job Description
ESSENTIAL JOB FUNCTIONS
  • Write receipts for money collected for parking, replacement parking permits, access cards, court reimbursements, and fleet reimbursements.
  • Answer incoming calls.
  • Issue and maintain parking records and permits for County employees and enter information into parking database and computer management system.
  • Issue County access cards, completing appropriate forms and updating software accordingly.
  • Prepare quote sheets and encumber purchase orders for the Carpenter Shop.
  • Act as receiving clerk for all purchase orders for the Carpenter/ Paint Shop.
  • Perform miscellaneous clerical duties, such as open and distribute mail for Building Operations Department, typing, purchase orders related documents, and filing.
  • Process other services accounts, encumber purchase orders, reconcile invoices from various locations and process purchases for payment.
  • Responsible for maintaining accuracy of physical inventory. Audit inventory on a regular basis and provide reports to accounting manager.
  • Enter control numbers and amounts in Excel ledger.
  • Reconcile receiving tickets, invoices, and purchase orders.
  • Contact vendors for invoices, delivery, and prices as needed.
  • Ensure that inventory items checked out are added to the correct work order.
  • Perform other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
Skill in:
  • Using personal computers and other office related equipment; inventory control software, accounting software, database software, Microsoft Access, Excel, Word and Internet
  • Filing and maintaining accurate records
Knowledge of:
  • Departmental policies and procedures
  • Basic arithmetic
  • Inventory control and bookkeeping principles and techniques
Ability to:
  • Input 35 WPM
  • Understand oral and written instructions
  • Deal tactfully with others
  • Make mathematical calculations with speed and accuracy
  • Perceive errors
  • Read, analyze, and interpret general business periodicals, professional journals, technical procedures, or government regulations
  • Write reports, business correspondence, and procedure manuals
  • Respond to common inquiries or complaints from customers, regulatory agencies, or members of the community
  • Calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages; apply concepts of basic algebra and geometry
  • Solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
  • Interpret a variety of instructions furnished in written, oral, diagram, or schedule form
SUPERVISORY RESPONSIBILITIES
This job has not supervisory responsibilities.
EDUCATION AND/OR EXPERIENCE
High school diploma or general education degree (GED) and at least three years of satisfactory, full time paid employment in accounting, bookkeeping, or related work.

Valid Oklahoma Driver’s License
