ABOUT PROPERTY MANAGEMENT

The Property Management team is responsible for operating and maintaining our beautiful communities, but beyond that, they are relationship builders and the heart and soul of MidPen. PAY RANGE

$25.00 - $35.58 hourly - pay is based on applicable experience and qualifications

POSITION OVERVIEW

This position reports to the Compliance Manager within the Property Management Division of the MidPen Management Corp. and supports the development, implementation and oversight of high-quality programs and services. The Compliance Project Associate serves as a central point of contact for internal staff to relay timely communication, maintains Compliance schedules, coordinates trainings and departmental meetings, produces departmental reporting and provides clerical and administrative support to the Compliance and Systems staff.

This is a hybrid position, based on current MidPen policy of working Tuesdays and Thursdays in the Union City Office. Mon, Wed and Fri, option to work from home or the office. When working from home, requires a reliable internet connection.

ESSENTIAL DUTIES

  • Effectively coordinates regulatory inspection scheduling for all MidPen Property Management Corp. properties. This includes logging, tracking, and communicating information to property management staff and external partners. Initiates communications needed to follow-up with property staff regarding overdue or time sensitive reporting requirements
  • Coordinates and prepares regulatory inspection findings and responses correspondence for Compliance Manager review
  • Prepares regular departmental, operational and metric reporting timely and as needed
  • Assists in creating and modifying reporting tools and templates to meet changing needs
  • Receives and responds to a high volume of diverse correspondence with competing deadlines with a positive approach while maintaining cordial and professional relationships with all internal and external contacts
  • Generates and completes other general reporting documents as needed and coordinates receipt of upper management signatures and submissions to external partners
  • Stores and maintains the Compliance department’s electronic and physical records
  • Maintains internal ticket tracking system, manages daily ticket assignments, and coordinates annual internal property audit deliverables
  • Provides administrative support for departmental needs
  • Performs other assignments as requested

QUALIFICATIONS

Education and Experience

  • Associates Degree and one to two years of property management experience or combination of education and relevant experience

Knowledge, Skills, and Abilities

  • Superb customer service, verbal, and written communication skills
  • Knowledge of professional business correspondence
  • Strong organizational, analytical, and planning skills
  • Advanced Excel knowledge and solid computer literacy with MS Office Suite Programs including Word, Outlook, and PowerPoint.
  • Ability to work well with a team
  • Consistent, reliable, and dependable attendance
  • Strong desire to support MidPen’s Mission and Core Values

Physical Requirements

  • Constantly perform desk-based computer tasks, frequently sitting
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 15 pounds
  • Rarely twist/bend/stoop/squat, kneel/crawl

COVID-19 VACCINATION MANDATE

All MidPen employees are required to be fully vaccinated against COVID-19. As of April 1st, 2022, boosters are required for employment at MidPen. (As a reminder, booster eligibility means that at least 5 months have passed from your 2nd shot of Moderna or Pfizer or 2 months from your Johnson & Johnson shot.)
