Reports to: Director of Sales & Marketing

General Description: The Community Marketing Specialist – Healthcare represents Holly Hall Christian Retirement Community in the Texas Medical Center, as well as the greater Houston community. Maintains a presence in area hospitals, assists case managers and prospective Healthcare residents and their families in their decision to move to Holly Hall’s skilled nursing facility by promoting the community, providing information, leading tours and assisting in their relocation to Holly Hall.

Duties and Responsibilities:

  • Manages admissions process with prospective parties and interdisciplinary team, including managing communication between the interdisciplinary team and the hospital discharge planner to ensure accurate and timely decision making, and facilitates a rapid process for making determinations on referrals within a 30 minute -1 hour window.
  • Attends daily Morning Stand Up meetings and reports on pending admission and marketing efforts at least on Mondays and Thursdays to update IDT on any barriers or opportunities.
  • Communicates status and result of approval process with case managers, family members and interdisciplinary team and functions as a liaison when additional information is needed.
  • Communicates and coordinates with the interdisciplinary team to ensure a seamless move to or within of the community
  • Works with the Intake Specialist to ensure the completion of the admission packet and all required documentation with appropriate signatures in advance of admission to the community when possible.
  • Maintains Confidentiality of patient information and follows established HIPAA guidelines
  • Supports the organization’s strategic business development efforts and censustargets
  • Coordinates and attends marketing events to promote Holly Hall’s skilled nursing facility
  • Provides marketing tours for prospective residents and families • Maintains and organizes marketing and admission records, materials and files; • Maintains records of referrals
  • Works with the Director of Sales & Marketing to ensure Holly Hall has effective marketing collateral
  • Drafts and produces correspondence and records related to the marketing of Holly Hall Provides excellent customer service to residents, families, and case managers that exemplifies Holly Hall’s highest standards of conduct
  • Offers to be a resource to the community for skilled nursing and long-term care services, thereby enhancing Holly Hall’s reputation as the service provider of choice
  • Visits Holly Hall residents in the hospital to assist with their return back to the community
  • Participates in and seeks additional opportunities for professional growth and development avoiding situations that may present a conflict of interest to HollyHall
  • Adheres to the company policies and standards of conduct as a representative of Holly Hall when attending external functions
  • Listens carefully to customers, probing to fully clarify their specific need or request; establishes eye contact with the customer and presents a positive demeanor appropriate to the circumstances
  • Other duties, as assigned

Qualifications:

  • 3+ years marketing and/or admissions experience in healthcare desired;
  • Clinical background is preferred, but not required; • Must excel at creating and maintaining fruitful relationships.
  • Reliable transportation and the willingness to travel within the targeted region on a daily basis.
  • Must have a high focus on customer service.
  • Ability to handle stressful situations in a calm and professional manner at all times.
  • Must master the technical aspects of the role including, the computing and reporting environment, contracts/disclosure statements, state regulations, adherence to deadlines, and strategic analysis.
  • Capable public presentation and written communication skills.
  • Familiar with the local market and competitive environment

Other Skills and Abilities:

Must display a pleasant, cooperative, service-oriented attitude at all times with residents, families, physicians, and facility personnel.

Represents Holly Hall both on and off site; and must be team oriented and able to work cooperatively in groups to accomplish a common goal.

  • Excellent communication skills including oral and written communication competency;
  • Ability to establish and maintain appropriate interpersonal relationships with peers, supervisor, visitors, members of the Board of Directors, Department Directors and residents;
  • Knowledge of administrative and clerical procedures and systems, including word processing, managing files and business office terminology;
  • Demonstrated computer skills, including Microsoft Word, Excel and Outlook;
  • Experience with PointClickCare preferred, but not required;
  • Ability to work in busy office with multiple distractions and deadlines.
  • Exude professional presence when representing Holly Hall; exhibit degree of professionalism consistent with standards in performance, behavior, and appearance in compliance with the employee handbook
  • Maintain resident confidentiality and privacy at all times according to legal and internal policies and procedures; uses discretion when discussing confidential matters
  • Exhibit professionalstandardsthrough appearance and demeanor consistent with personnel standards
  • Establish knowledge and understanding of policies and procedures; seek clarification or interpretation from appropriate supervisor when needed
  • Must have an interest in the elderly
  • Participate in in-service, projects, and committees as assigned
  • Actively pursue improving his/her skills through participation in education opportunities whether offered on the job or outside of the community, to increase knowledge of work related issues
  • Maintain a current knowledge of federal, state and other regulations applicable to job Work Environment/Physical Demands:
  • While performing the duties of this job, employees are regularly required to sit, walk and stand; talk or hear, both in person and by telephone; use hands repetitively to finger, handle, feel or operate standard office equipment; reach with hands and arms; and lift up to 25 pounds.
