Job Summary: The Clinic Manager is directly responsible for the day-to-day operations of their clinic while assisting in the care of patients. The Clinic Manager will ensure that the clinic provides the highest quality of patient care and an exceptional overall patient experience. This individual will be responsible for the operational and administrative functions of their clinic to include performance management, implementation and execution of established processes, protocols, and workflows, inventory, and managing the financial performance of the clinic in relation to a budget.
Duties and Responsibilities:
Administrative

  • Hire, train/onboard, supervise, and coach/develop all non-provider staff to ensure the clinic operates in an efficient manner and that the patients receive high-quality patient care and a positive patient experience.
  • Create and maintain employee schedule based on clinic budget and patient volumes. Present any proposed changes to the established staffing model for approval in advance from the Practice Administrator.
  • Verifying all opening and closing duties are completed by the staff daily.
  • Reviewing, updating, and verifying completion of clinical and front office work queues daily.
  • Ensure staff compliance with company policies and procedures and state and federal laws and regulations.
  • Monitor clinic activity and patient flow to ensure efficient and effective patient care.
  • Maintain adequate levels of medical and office supplies in accordance with budget and established inventory management levels.
  • Complete timely monthly inventory of supplies.
  • Understand and ensure clinic performance at or above Company benchmarks for all Velocity Urgent Care Key Performance Indicators (KPIs) such as Net Promoter Score and Patient Throughput.
  • Serve as the clinic’s preceptor for all non-provider staff during their initial onboarding and training period.
  • Train all non-provider staff to ensure the clinic operates in an efficient manner and that the patients receive high-quality patient care and a positive patient experience.
  • Track and hold employees accountable for absenteeism and tardiness adhering to our Time and Attendance Policy.
  • Investigate and resolve patient and staff complaints in a timely manner while diffusing the situation and escalating as appropriate.
  • Coordinate and maintain positive relationships with clients for employer paid services and ensure their visits meet the expectations and needs of the contract.
  • Maintain a positive work environment that embraces the company culture and fosters employee engagement and retention.
  • Support staff communication through daily huddles and regularly scheduled meetings, including all staff members.
  • Notify Practice Administrator of any conditions or situations that could hinder the ongoing operations of the clinic.

Clinical

  • Performs general clinical duties to include, but not limited to:
  • Taking vital signs
  • Rooming in VLD
  • Injections under provider supervision
  • Venipuncture
  • Occupational Medicine Testing to include UDS, BAT, Various Employer Physicals, Spirometry, and Audiometry
  • Complete all forms related to Occupational health and Work’s Comp patient visits
  • Snellen Eye Chart
  • CLIA Waived Lab Testing
  • Orthopedic Splinting
  • Bandaging (without packing)
  • Set up and Chaperone (if needed) during procedures/exams (e.g. pelvic, laceration repairs)
  • Calling 911 and transfer process
  • Hazardous Waste Disposal
  • Exam Room Turnover
  • EKG
  • Ear Lavage

Front Office

  • Performs general registration duties to include, but not limited to:
  • Greet patients in a positive and helpful manner; provide information and assistance as
  • Gather necessary demographic and insurance information from patient to build a new/updated patient account in the
  • Provide necessary forms to patients for completion and
  • Keep patients informed of their account
  • Collect payments, insurance co-pays, and credit card pre-
  • Correctly matching corporate protocols for occupational medicine visits in our computer
  • Maintain an adequate level of office supplies and necessary forms and order office supplies as needed for smooth department operations.
  • Maintain various logs of daily activities including patient count and financial transactions to ensure
  • Provide patients with regular updates on delays and wait times in clinic as well as electronically through Velocity’s online check in system.
  • Create efficient patient visits by anticipating longer wait times, diverting to nearby Velocity Urgent Care clinics when necessary, and rescheduling for later check-in times in the same day to avoid longer wait times.

Radiologic Technologist (when applicable)

  • Performs the following radiology duties (in addition to MA and FOS duties) to include, but not limited to:
  • Prepare patients for radiologic Take X-Rays following established procedures for patient care and safety.
  • Uses a variety of radiation protection and shielding materials
  • Ensure equipment is in working Report equipment malfunctions to x-ray subject matter expert.
  • Log radiologic procedures Process related paperwork using computer equipment as directed.
  • Maintain x-ray suite; stock necessary medical and radiologic
  • Responsible for packaging, signing of medical records release forms and logging X-Rays.

Provider (when applicable)

  • Performs all the direct medical care as further defined by their license and job description.

Qualifications/Skills:

  • Minimum of 2 years’ experience working in a supervisory role or as a Velocity Urgent Care Clinic Lead.
  • Minimum of 3 years of clinical experience.
  • Must possess one of the following credentials: CMA, RMA, EMT, RT, LPN, PA, or NP.
  • Must possess or be willing to obtain all occupational medicine certifications.
  • Excellent verbal and written communication skills to effectively interact with employees, leadership, patients, and external vendors.
  • Proficiency in the use of standard office technology.
  • Ability to prioritize multiple tasks, work effectively under stress, meet short deadlines and take direction.
  • Ability to maintain confidentiality and abide by the requirements of HIPAA.
