Business Support Specialist (2)

The Business Support Specialist oversees and manages all office administrative procedures and other tasks as assigned by the
CEO, Chief of Staff or General Manager. Under general supervision, performs administrative duties for CEO or General Manager and other business areas as needed. Provide a broad variety of administrative and staff support services senior management.

Other duties may include: Manage front desk - must be polished & professional, will collect and interpret data to produce reports; support special projects; coordinate meetings, conferences, presentations, ordering supplies and travel arrangements; composes correspondence and other documentation as needed. Must be organized/thorough with the ability to multi-task.
Ensure effective working relationships with all internal & external interactions by upholding a high standard of customer service. Demonstrate respect for all members of the company, Assist with event planning, flexibility to take on new tasks or assignments as needed.

Advanced use of Microsoft Office Suite of Products, such as Word, Excel, PowerPoint & Outlook etc. Specific job duties vary by area. Also have the ability to work overtime when needed and to support external events, such as conferences, trainings etc.
The Business Support Specialist responsibilities are, but not limited to:

Provide general administrative support to the management team and staff of the company as assigned
Provide specific administrative support to CEO or General Manager
Other Limited administrative support to staff, such as travel/meeting arrangements as well
Maintain and Manage calendar and travel arrangements for CEO
Oversee all aspects of general office coordination.
Maintain overall office calendar to coordinate activity flow, meetings and events.
Maintain confidentiality in all aspects of client, staff and agency information.
Monitor and assist with maintenance of the organization’s websites and social networking efforts.
Interact with clients, tenants, vendors and visitors.
Answer telephones and transfer to appropriate staff member.
Open, sort and distribute incoming correspondence, including faxes and email.
Monitor social media platforms and post approved content
Perform general clerical duties to include, but not limited to, copying, faxing, mailing and filing.
File and retrieve organizational documents, records and reports.
Coordinate and maintain records for staff, office space, telephones, parking, and office keys.
Coordinate and direct office services, such as records, and housekeeping.
Make meeting arrangements and plan/coordinate external events
Assist with preparation of Client meetings, spreadsheets, reports & presentations
Maintain and organize Corporate files, inventory, mail and database systems
Order office supplies, coordinates office equipment repair & service
Excellent telephone, email and in-person etiquette
Ability to multi-task, strong interpersonal skills and client focused
Provide backup support, as needed for business units
Perform research using internal and external resources

  • Collect and maintain inventory of office equipment and supplies.
  • Arrange for the repair and maintenance of office equipment.
  • Support staff in assigned project-based work.
  • Any other duty as assigned by the General Manager or the CEO

Business Support Specialist Job Qualifications:

Bachelor’s Degree preferred. High School Diploma, Vocational Training or Equivalent acceptable with skills and experience. At least 3 years of experience as a Business Support Specialist or in providing administrative support:

Work Environment/Physical Demands/Schedule
While performing the duties of this position, the employee is frequently required to sit for extended periods and may be required to stand for an extended period. The employee must occasionally lift and/or move items weighing up to 25 pounds. Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions of the position. Noise level in the work environment is usually moderate. This position is required to work some evenings and weekends.

Pay: $18.00 - $20.00 per hour
