- Assist in administrative coordination of student or department events which could include catering, purchasing food / materials, set-up / preparation, communication / promotion, invitations / RSVPs, troubleshooting and onsite problem-solving.
- Pcard Reconciliation – On a weekly basis, support Pcard holders by tracking purchases in Bank of America Works, retrieving receipts, completing necessary forms, gathering additional documentation, and obtaining signatures from Pcard holders that are required for monthly report filing. Attention to detail and ability to compile documentation in the required format for auditors.
- Complete Fund Reconciliation each month
- Assist with tracking expenses within the budget shadow and budget reconciliation.
- Purchasing – order materials for staff using App State / YoMart catalogs including Amazon, Staples, Office Depot, etc. Track shipments to ensure the required delivery date will be met. Receive and deliver materials to the requestor. Communicate possible delays and offer solutions.
- Contract Management: Assist staff with management of entertainment or personal services contracts; facilitate / track approval workflow of contract requests, execute payment to the vendor within 30-days of the completed event / service. Collaboration with contract requestor and vendor is essential throughout the process.
- Assist with onboarding and pay processes for student employees associated with supported departments.
- Provide business administration training to departmental personnel responsive for financial procedures.
- Coordinate annual scholarship selection and awarding process for student affairs departments
- Manage award process for distributing funds for Club Council Allocations
- Ability to learn and manage university systems and processes including management of office inventory, work order system, travel authorization processes, pcard processes and procedures.
- Ability to hire and train student employees, monitor assignments, provide support, offer guidance and assistance if needed.
- Knowledge of exceptional customer service – ability to support and effectively communicate with students, graduate student employees, and professional staff.
- Skill with both written and oral communication.
- Competency using Microsoft Office and Google Suite is required for this position.
- Knowledge of basic event planning/coordination from concept through execution and expense reconciliation.
- Ability to work as a team player regardless of the task required.
- Bachelors degree from an accredited institution; college degree preferred.
- Experience with administrative support, planning requiring attention to details and work that requires strong collaboration.
- Demonstrated experience with budget management and processes associated.
- Demonstrated experience with basic computer skills including website updates and social media management.
Office Technology: Selects, understands and fully applies features of a variety of software programs, machines or office equipment that will produce the desired results.
Work Coordination: Facilitates flow of work throughout a dynamic work unit. Coordinates and directs the office support activities and manages a wide variety of records, reports and files. May develop new processes or procedures relevant to the support needs of the office.
Problem Solving: Assesses and may resolve unprecedented problems that require research and review of policy and procedures. Applies judgment for problem resolutions based on delegated authority from supervisor.
