TITLE: Bookkeeper DEPARTMENT: Finance

Classification: Full-Time, Hourly (Non-Exempt) JOB CLASS: Specialist II

Reports To: Finance Manager AMENDED: May 2023

POSITION SUMMARY: This is a clerical and record keeping position with an emphasis on Accounts Payable and payroll.

Essential Functions:
  • Enters invoices into financial system, verifying vendor codes and budgeting information for each invoice, initiating workflow to designated department, processing and printing checks, journalize all entries to the general ledger and prepares checks for mailing/ACH payments
  • Maintains township financial records including expenditures and balances for all township funds
  • Assists with the preparation and maintenance of all municipal financial records; and provides monthly and annual reports regarding the financial status of the township to the Finance Manager
  • Provides the Township Manager and Finance Manager with a monthly report of the receipts and expenditures in all funds
  • Prepares, with the assistance of the Township Manager and Finance Manager, a monthly list of expenditures to be presented for approval to the Board of Supervisors
  • Processes payroll records; prepares, processes and distributes payroll checks; and files payroll reports for all appropriate agencies
  • Mails funds to various supplemental financial programs including ancillary insurances and 457b
  • Assists with the assembly of data and cooperates with auditors whenever audits of various funds are conducted
  • Assists with the preparation of budget documents; and collects and organizes supporting documents for review by the Finance Manager and Township Manager
  • Assists with maintaining financial records
  • Supports accounts receivable and implements those duties, as needed
  • Assists with front desk receptionist area, as needed
  • Grant tracking, writing, processing, filing
  • Journalizing of cash receipting
  • Coordinating with Accounts Receivables for invoices to be billed
  • Performs all other duties assigned
Position Requirements:
Experience, Education, Licenses/Certifications
  • Two (2) years of experience in accounting and finance
  • Associates degree in Accounting, Finance or similar area from an accredited business school; or five (5) years of experience in the same areas with a high school diploma, GED or educational equivalent
  • Shall have the ability to be bonded
