Responsibilities include but are not limited to the following:

The Bilingual Payroll Specialist provides comprehensive support regarding the day-to-day operations of the payroll function ensuring accurate and timely payroll processing.

Responsibilities of Bilingual Payroll Specialist:

  • Must speak and write English and Spanish
  • Prepare new hire employment packet for new hires and assist new hires with the completion of paperwork
  • Review all new hire employment paperwork and ensure accuracy in completion
  • Set up employees in all payroll-related systems
  • File and maintain employee information in the appropriate files
  • Collect and enter weekly payroll data for hourly employees
  • Resolve payroll discrepancies
  • Maintain a separate filing system for I-9 documents. Ensure accuracy in completion and attach a copy of the identification documents submitted with the form
  • Process payroll information for hourly and salary employees via Navision
  • Process weekly payroll
  • Submit direct deposit file to Wells Fargo as well as 401k file to Principal
  • Process tax and child support payments
  • Complete the new hire reporting to the state
  • Work closely with Controller for quarterly reporting of taxes and sui
  • Maintains employee vacation and sick time (PTO) accruals ensuring established guidelines are followed
  • Adheres to the strict confidentiality of payroll records, pay rate information and other wage related employee issues
  • Manage all payroll-related changes (i.e. 401(k), Dental, Medical, Tax, etc.) to employee information on the payroll system and ensure payroll tax information is properly set up for each payroll cycle
  • Ensures benefit deductions and remittances for insurances and any other collections from employees is done in a timely and accurate manner
  • Ensures the process and distribution of W2 information to all active and inactive employees is done within the required period of time as governed by law
  • Ensures that weekly charges for EE uniforms are correct and maintain uniform file
  • Complete any other tasks/duties as may be assigned

Requirements for Bilingual Payroll Specialist:

  • Min of 3 years + experience with in-house payroll
  • Must speak and write in English and Spanish
  • Extensive knowledge of payroll-related practices and procedures
  • General knowledge of HR/Accounting principles
  • Computer skills and knowledge of office software packages including Microsoft Office Suite
  • Proficiency with Microsoft Excel, including strong analytical abilities
  • Ability to speak, read and comprehend instructions, short correspondence and policy documents, as well as converse comfortably with associates
