District Position Description


Position Title: Attendance Clerk / PowerSchool

Reports To: Principal

FLSA Status: Non-Exempt

Contract: 210 days


GENERALY SUMMARY:

Works to enforce state laws designed to ensure that each student shall have full advantage of educational opportunities through regular school attendance. The attendance clerk shall use every available resource in the community to assist students in learning to live more happily, successfully, and safely. The attendance clerk shall also help parents to recognize the importance of a consistent pattern of regular school attendance.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Keeps track of excessive absences for truancy and codes according to SDE regulations in PowerSchool and keeps track of tardies and compiles reports as needed.


  • Confers with principal, teachers, and guidance counselor regarding students who are frequently absent or tardy after the school has made an initial contact and attempts on the part of the school at solving the problem have been documented.


  • Monitors PowerSchool to make sure all teachers have entered daily attendance.


  • Runs attendance processes to populate all day absences.


  • Enters attendance directly into PowerSchool for the students in classes with substitute teachers.


  • Enters codes in PowerSchool attendance for out of school suspension, in school suspension, homebound, parent and doctor excuses, and tardies. Takes out PowerSchool absences according to sign in and out sheets.


  • Generates and maintains sign-in and sign-out documents.


  • Shares knowledge of compulsory attendance laws and explains them to parents and students in an informative, concise, and professional manner.


  • Serves as liaison between the family and the schools.


  • Cooperates with social workers on cases involving child abuse and neglect.


  • Works closely with the South Carolina Department of Social Services on mutual cases.


  • Consults with and receives approval from appropriate school officials regarding referral of case to family court or other courts having jurisdiction over juveniles.


  • Follows district policies in scheduling conferences, sending letters, making phone calls, and scheduling appointments.


  • Interacts with immediate supervisor, co-workers, staff, students, and general public in a very professional manner.


  • Ability to write reports, business correspondence, and procedure manuals.


  • Ability to effectively present information to administrators, top management, public groups/community, and Board of Education.


  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.


  • Ability to deal with problems involving a variety of concrete variables in standardized situations.


  • Ability to develop effective working relationships with students, parents, staff and the school community.


  • Ability to communicate clearly and concisely.


  • Ability to perform duties with awareness of all district requirements and the Board of Education policies.


  • Must be able to effectively deal with students, parents, and the public both in person and on the phone.


  • Employee must be able to work irregular or extended hours and meet deadlines with severe time constraints.


  • Other duties as assigned.

QUALIFICATION REQUIREMENTS:

EDUCATION and/or EXPERIENCE:

  • High school graduate with vocational/technical school training in secretarial science and one to two year or secretarial
  • And/or clerical experience
  • And/or high school graduate with three to five years of secretarial or clerical experience
  • And/or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
  • And/ or Associates degree (preferred)

LANGUAGE SKILLS:

Ability to communicate fluently verbally and in writing in English. Ability to effectively present information and respond effectively to questions in one-on-one, small group situations to students, parents and other school staff. Ability to verbally respond to common inquiries from students, parents, and staff. Ability to read and interpret documents such as procedure manuals and governmental regulations. Ability to write routine reports and correspondence.


MATHEMATICAL SKILLS:

Ability to compute, rate, ratio, and percent and to draw and interpret bar graphs. Have the ability to compute basic math skills.


REASONING ABILITY:

Ability to interpret a variety of technical instructions in mathematical or diagram forms.


SKILLS and ABILITIES:

  • Ability to analyze varied functions, processes and tasks for the preparation of varied and complex records and reports.
  • Advanced skill in compilation and/or research methods and analysis techniques.
  • Ability to maintain high standards of accuracy in exercising duties.
  • Ability to anticipate work to be completed and initiate proper and acceptable direction for completion of work with little to no supervision and instruction.
  • Ability to work independently on responsible and confidential assignments and secretarial tasks.
  • Ability to type clear copy at the minimum required rate.
  • Skill in the use of general office equipment.
  • Good written and verbal communication, mathematical, organizational, and telephone skills.
  • Ability to interpret and apply detailed oral and written instructions.


WORKING ENVIRONMENT:


Conducts duties in an office environment with no significant exposure to environmental conditions. Requires ability to work under a degree of stress related to duties that require constant attention and meeting deadlines. Physical demands are restricted to office work requiring lifting/moving of items up to 25 pounds. Occasional local travel may be required; no overnight travel is require. Job requires the operation of standard office equipment. Nature of job requires frequent use of computer for long duration.
