Job Description:

The State University of New York (SUNY) seeks an Assistant Secretary of the State University at System Administration. This position can be located in either our Albany or New York City office. The Assistant Secretary of the University shall serve the Board of Trustees and its committees, shall keep records of their proceedings, and shall furnish minutes of such proceedings to the members of the Board and its committees, respectively. The Assistant Secretary shall be the custodian of the University seal and shall maintain a complete file of all reports of the Board and its committees and perform such other duties as may be assigned by the Board or any of its committees.

Additional duties and responsibilities include:

  • Coordinate the preparation of all Board resolutions and related materials, the scheduling of all Board meetings, hearings, committee meetings and other Board sessions
  • Oversee Board recordkeeping, including formal Board minutes, resolutions, reports, and other formal documents. Facilitating appropriate public notice and distribution of Board materials
  • Serve as the liaison between Board members and the University. Responding to Board Members' inquiries and other matters related to their official duties
  • Serve as the liaison between the Office of the Secretary and other State University offices in regard to Board issues and activities
  • Provide assistance to the Chief assistant to the Secretary of the University and fill in for the Secretary as appropriate
  • Provide support to the Members of the Board of Trustees as requested in regard to official University duties
  • Oversee Board archives (1948 - Present) and all related matters required under New York State Education Law, including University Seal. Undertaking a major effort to consolidate and update the Policies of the Board
  • Maintain the Office of the Secretary budget, purchasing, and related office matters
  • Handle senior level confidential matters on behalf of the University
  • Coordinate all Board/Trustee related events with the Office of Special Events
  • Assist in the orientation of new members and periodic training on ethics and other topics; organizes workshops or retreats for Board; assists Board with evaluation of Chancellor; and prepares and updates trustee handbook
  • Must be able to attend Board meetings, which may require overnight travel


Requirements:

Minimum Requirements:

  • A bachelor's degree in a related field
  • Minimum of five years of progressively responsible relevant experience, preferably with New York State government or in higher education.
  • Proficient in Office 365, especially Word and Outlook
  • Experience working with non-profits, government, and corporate boards
  • Collegiality, diplomacy, and ability to engage others in support of the University's goals and mission
  • Capacity to understand a full range of strategic issues in a complex educational system
  • Exceptional time management and organizational skills
  • Outstanding listening, communication, and facilitative skills
  • Ability to travel on occasion

Preferred Requirements:

  • Experience working with New York State procurement and Federal travel rules


Additional Information:

This position does require occasional travel around NYS.
